Key Responsibilities:
Scheduling and Appointments
Maintain and manage the hygiene appointment schedule, ensuring optimum productivity.
Schedule patients, or ensure that patients are scheduled, for their next hygiene appointments before they leave the practice.
Coordinate with the front desk to confirm upcoming appointments 24-48 hours in advance.
Follow-ups and Treatment Coordination
Act as the primary point of contact for hygiene follow-ups and initiate communication with patients regarding upcoming or missed appointments.
Review treatment plans with patients post-consultation and assist them in understanding their dental needs.
KPIs and Data Management
Track hygiene KPIs, including reappointment rates, cancellation rates, and revenue per appointment.
Generate regular reports for the dental team to review.
Utilize practice management software to keep records up-to-date.
Coordination and Communication
Work closely with hygienists to manage and adjust schedules for vacations, sick days, or unexpected changes.
Conduct daily huddles with the hygiene team to go over the day’s schedule and special cases.
Liaise with the dental assistants and dentists to coordinate patient flow.
Insurance and Billing
Verify dental insurance benefits for scheduled hygiene appointments.
Coordinate with the billing department to ensure all hygiene services are billed and coded correctly and notes are written.
Patient Experience
Engage with patients to gather feedback on their visit and the services received.
