Our practice is growing throughout the Raleigh area and we are seeking an experienced surgical Scheduling Coordinator to facilitate the anesthesia schedule for providers throughout the facilities. The ideal candidate will be experienced with creating either an anesthesia or surgery schedule among a substantial staff and have a bachelor's degree in business or healthcare administration. The position will be mainly remote with occassional travel to our surgery centers for training, orientation and/or meetings. The schedule will be Monday through Friday.
Essential Duties and Responsibilities:
The Scheduling Coordinator oversees the coordination of all anaesthesia providers in the Raleigh division. Responsible for preparing schedules and maintaining appropriate staffing levels to assist with creating the daily schedule for a busy and fast-paced practice across all vendor facilities (hospitals and surgery centers) according to daily medical staffing requirements.
- The coordinator must take into consideration the clinical specialty of providers, scheduled benefit time, special request cases, swaps amongst staff, analysis of evening/late cases, and post-, late-, and on-call assignments. Uses independent judgment to make knowledgeable decisions in organizing resources and resolving conflicts concerning the daily clinical schedule
- Main contact for daily scheduling for physicians and anesthetists across multiple sites – both hospital and ambulatory surgery centers in the Raleigh area. Must be able to handle frequent interruptions via phone and find available resources to staff site needs. Must be able to navigate frequent changes in the daily schedule based on facility needs.
- Determine day to day staffing based on OR schedules from each facility.
- Creating and maintaining yearly vacation schedules/spreadsheets for physicians and anesthetists via QGenda scheduling software
- Communicate changes to appropriate levels, Physicians and anesthetists.
- Review and respond to incoming calls, texts and emails, outside of regular business hours, regarding next day add-ons or changes
- Notify all providers of his/her daily schedule according to division requirements
- Gather, transmit, and reconcile documentation discrepancies for billing purposes
- Ability to gather data, compile information and prepare reports
- Ability to analyze and sort complex scheduling information
- Highly detail-oriented and meticulous
- Analytical and problem-solving skills
- Ability to multi-task with operating phone lines, emails, and schedules
- Ability to use independent judgment and to manage and impart confidential information
- Ability to work closely with Facility Medical Directors, Chief Anesthetists, Anesthesia Vice President of Operations
- Other duties as assigned
Requisite Knowledge, Skills, & Abilities:
- Bachelor’s degree in healthcare administration, health informatics, or related field; comparable experience will be considered
- Clinical experience required, preferably in a perioperative setting
- 2+ years experience in provider scheduling
- Basic knowledge of medical terminology
- Proficiency with Microsoft Office
- Ability to communicate and collaborate effectively with staff, physicians, and external customers
- Strong ability to multitask
- Position requires an extremely perceptive person who is capable of relating to individuals at all levels.
- Resolves problems or determines an appropriate course of action in a timely manner.
- Ability to multi-task and move from one project to another as needed.
- Strong time management, follow-through and organizational skills.
Physical Requirements:
- Requires prolonged sitting at a computer.
- Requires reliable transportation to our various surgery centers throughout the Raleigh, Cary, Rex area.
- Must possess sufficient eye-hand coordination/manual dexterity to operate a keyboard, photocopier, telephone, calculator and other office equipment
- Required normal range of hearing and eyesight to record, prepare, and communicate appropriate reports and evaluations.

Pay: $25.00 - $30.00 per hour
