SummaryResponsible for performing a variety of general administrative duties to support the Human Resources department including but not limited to: HR I-9 compliance, HR Mastercard billing, employee training records & processing, and document scanning. Primary back-up for talent attraction and recruiting activities. Additionally, this position is focused on assisting with department projects and other HR related activities.

High School diploma required. Associates Degree in Human Resources or related field preferred. One to three plus years of Human Resources experience preferred. Basic knowledge of employment law and HR compliance. Excellent written and verbal communication skills and the ability to maintain/manage confidential information. Strong computer (Excel, Word) are essential to success. Ability to make sound judgments on job-related matters, work with minimal supervision, demonstrate initiative and manage multiple tasks and deadlines in a fast-paced environment.
Primary Activities

- Scan archived personnel files and all associated documents utilizing scanner and associated computer applications.
- Upon request scan documentation for the entire HR department.
- Maintain and manipulate excel spreadsheet to report scanning progress.
- Organize and work and develop procedures for completing assigned work
- Maintain I-9 files (active employee files, name changes and termed employee files) in accordance with regulation standards.
- Update I-9 forms in accordance with federal regulations.
- Ensures that I-9 supporting documents are valid (expiration dates, new documents are provided upon name change, etc…) and that I-9 forms are filled out correctly.
- Perform I-9 audits as needed.
- Responsible for corporate seminar/webinar requests. Serves as the primary associate contact for general questions arising from employee training.
- Process completed requests through the One Portal
- Complete the conference/seminar registration as required by working with the requesting associate and the vendor.
- Complete billing with the appropriate vendor.
- Responsible for recording employee training and providing reports as requested.
- Finance Control Reports (Officer/Board Report, Employee Count, FTE, etc.) as requested.
- Using completed exit surveys returned by terminated associates, input and maintain the yearly exit survey data graphs.
- Reconcile and process department billings to include the monthly Mastercard bill.
- Serve as primary contact and coordinator for corporate sponsored blood drives and other HR events.
- Operate the main switchboard for HR department, answering incoming calls and routing to the appropriate personnel.
- Sort and distribute incoming mail.
- Assist department with mass mailings.
- Orders and processes office supplies for the entire HR Department.
- Orders remembrance items for associate’s family members in case of a funeral.
- Completes employment/wage verifications for requesting external entities.
- Provide project assistance per HR department strategic goals.
- Serves as backup for recruitment efforts by, screening, interviewing and selection of employees to fill vacant positions within the organization if needed.
- Assists recruiters as needed by attending career fairs and recruiting events.
- Maintain job procedures for all associated activities.
- Any other duties as assigned or required.

Bank Secrecy Act
