This position will support the Human Resources Administration with administrative and fiscal duties for Combined Record's. The employee has general knowledge of the functions of Human Resources. This employee assists the section in coordinating the resources, people, equipment and supplies necessary to provide services. This position is assigned to Combined Records and is located at Yonkers Road in Raleigh, NC.
This position will be the first point of contact for the Human Resources area and will assist with the maintaining of all employee's personnel files, ensuring they are up to date and accurate. Maintains confidentiality of all information according to policy and procedure while preparing, maintaining, and organizing confidential reports, files and various other record keeping. Serve as back up to the Human Resources Manager for all Beacon (HR System) duties. Assists with all aspects of the hiring processes for employees, including interview packet preparations, planning for interviews or meetings, securing conference rooms, coordinating personnel and equipment for requested mandatory meetings and trainings for the Section. Responsible for the receiving and processing of travel authorizations and reimbursement requests.
Asset Management, record receipts of all ordered materials through e-procurement, NCFS system or p-card reconciliation. Tracks and files monthly mileage reports for Motor Fleet Management. Assists with the inventory control of equipment, tracking IDs and or serial numbers of all equipment for the section. Assists with yearly inventory, surplus paperwork, and logistics. Communicates with the service technicians to arrange for prompt and efficient maintenance and repair of all office equipment and state-owned facilities by using telephone, fax, or electronic mail. Prepares and maintains paperwork for cellular devices.
Utilizes strong verbal communication skills to interact effectively with all levels of the Department of Adult Correction's staff. Sections safety coordinator as well as site security administrator. Position description is not all-inclusive, and the supervisor may delegate and assign other duties to position as needed.
This is a full-time position (40 hours a week) with State Benefits .
Work schedule: Monday - Friday 8:00 am to 5:00 pm

About the Department of Adult Correction (DAC)
The North Carolina Department of Adult Correction is responsible for the care, custody, and supervision of all adults sentenced after conviction for violating North Carolina laws. This department includes State Prisons, Correction Enterprises, the Division of Community Corrections, and the Division of Rehabilitation & Reentry.

To qualify for this position, applicants must document on the application that they possess ALL of the following:
  • Considerable knowledge of applying Human Resources and Administrative policies associated with personnel and confidential information.
  • Demonstrated experience using the Integrated Human Resources Payroll System (IHRPS) to research, compile, assimilate, and organize both printed and electronic information.
  • Demonstrated experience utilizing various office equipment, Microsoft Office, and other relevant technology systems.
  • Ability to effectively communicate both orally and in written form with diverse audiences to present ideas and explain processes clearly.
  • Considerable knowledge of ordering and asset management processes

High school diploma or General Educational Development (GED) diploma and four years of related administrative experience or equivalent combination of education and experience.
