HUMAN RESOURCES ADMINISTRATOR
JOB SUMMARY
The Human Resources Administrator reports to the CEO. The general responsibilities include: Employee Onboarding and Record Keeping, Recruitment, Benefits Administration and Payroll Processing Assistance.
JOB RESPONSIBILITIES:
- Assist in Maintaining Payroll System. Create and maintain position titles and accrual profiles, ensure that all are functioning and calculating properly. Assist Finance Department with weekly and biweekly payroll as needed.
- Employee Onboarding and Offboarding. Draft and maintain employment offer letters, conduct background checks, and send out new employee documents and acknowledgements to be completed by employees. Ensure that all new hire and rehire documents are completed and submitted by the employee and that they are set up properly in the payroll system prior to their start date. Manage and track employee offboarding.
- Maintenance of Employment Records. Ensure that required employment documents (including but not limited to Forms I-9, W-4, and NYS Wages acknowledgements) are obtained, completed, updated as required and maintained in confidential secure files for all employees.
- Employment Benefits Administration. Includes, but is not limited to distributing benefits information to employees, assisting them in the enrollment process and acting as the liaison to our Health, Dental and 403b plan broker to address employee questions. Preparing third party sick pay (Disability and NYPFML) documents and entering in the payroll system and updating changes in medical insurance rates in the payroll system. Provide COBRA information to terminated employees.
- Employment Benefit Compliance. Complete quarterly 403b compliance tasks and review and submit annual form 5500, 415 Limits test and 8955 SSA.
- Responding to NYS Unemployment Insurance notices regarding claims and employment verifications.
- Recrutiment. Help develop and implement systems for employee recruitment and retention strategies in all departments.
- Provide assistance to employees and act as liaison to CEO and Employment Attorney regarding employee issues.
- Employment Law. Keep up to date on relevant employment law via webinars, workshops, and direct communication with the Employment Attorney. Ensure that all required labor law postings are up to date and displayed as required. Ensure that the employee handbook, corporate employment documents, and required employment notifications are updated and distributed as required. Schedule required annual employee sexual harassment training.
- Employment Policies and Procedures. Ensure that company employment policies and procedure are updated and communicated to staff as changes are made. Maintain, update, and distribute the annual department PTO calendars.
- Assist Auditors with Audit/Tax information for all employee related requests.
- Special projects as needed.
REQUIRED JOB QUALIFICATIONS:
- Minimum of 5 years Human Resource experience.
- Non-profit and/or experience in education.
- Proficient with payroll systems.
- Proficient in Microsoft Excel and Word.
- Excellent written, verbal, and interpersonal skills.
- Detail oriented, highly organized, and able to work independently.
- High moral character and operates with discretion and integrity.
JOB QUALIFICATIONS:
- Bachelor’s Degree.
- iSolved payroll software experience.
Job Type: Full-time
Pay: $75,000.00 - $85,000.00 per year
