The Payroll Administrator manages all aspects of the weekly in-house payroll and tax processes across multiple states and divisions. They are responsible for payroll records retention and payroll requirements pertaining to Federal, State, and NYS Prevailing Wage compliance and reporting. This is a full-time position at our newly renovated office in the Rensselaer Tech Park - 125 Defreest Dr. Troy.
ESSENTIAL JOB FUNCTIONS:

- Process weekly payroll across multiple states and divisions for all employees including but not limited to, reviewing electronic data for errors, making corrections or adjustments, and proactively running reports to capture any potential errors before transmitting.
- Verify and track pay adjustments, expense reimbursements, allowances, benefit deductions, etc.
- Process, research and resolve payroll questions related to timecard adjustments, Paid Sick Leave, and PTO.
- Manage and update payroll items related to banking, garnishments, child support, employment verifications, unemployment verifications, retroactive pay calculations, tax questions, and other request that affect payroll operations.
- Process weekly Federal and State tax payments.
- Process all quarterly tax reporting including, but not limited to, 941, NYS-45, SUTA, Etc.
- Process all year-end tax reporting including W2, W3 preparation and distribution.
- Process quarterly MSHA reports.
- Prepare and distribute weekly reports including certified payroll reports.
- Responsible for new employee setup, terminations, and seasonal layoffs.
- Process Monthly Union Reports; reconciles union accounts
- Prepare annual prevailing wage and union rate/fringe updates
- Update payroll liability accounts (tax rate changes, annual limit updates, etc.)
- Seek continuous process improvements to enhance efficiencies & strengthen controls for accuracy and compliance
- Prepare and provide support for external auditors and annual audits as required.
- Maintain high standards of confidentiality of records and information
- Other projects as assigned
EXPERIENCE/EDUCATION:
A minimum of 5 years of full-time full cycle payroll experience including tax processing required, experience with multi-state payroll, prevailing wages and/or unions preferred. Experience in a construction setting a plus!

- Experience in Construction industry with exposure to prevailing wages and union agreements a plus
- Computer skills MS Excel and Word software programs; Familiarity with Vista Viewpoint preferred. Ability to learn new programs quickly.
