Description
NYCSBUS (New York City School Bus Umbrella Services Inc.) is a newly formed not-for-profit corporation that provides school bus transportation services to New York City public and private school students, the majority of whom have Individualized Educational Programs. It operates approximately 800 school bus routes with a staff of approximately 1,800 people from five locations with a budget of $190 million. NYCSBUS' goal is to radically improve student bus transportation by innovating in all areas and by providing unprecedented transparency in bus operations to school districts that outsource this service.
Reporting to the Senior Human Resources Manager, the Human Resources Administrator will be a member of the NYCSBUS HR team. The HR Assistant's primary role will be to perform administrative tasks and services to support effective and efficient operations of the organization's human resource department.
Primary Responsibilities
- Assist with the recruitment process from advertisement stage using an intranet and other recruitment platforms through to appointment including pre-employment checks as directed by the Managing Director
- Update and maintain the recruitment tracker, job files and systems to enable efficient processing of job vacancies and applications and provide statistical data
- Setting up interviews and corresponding with prospective employees in a timely manner
- Coordinating logistics for employee onboarding, new hire training, first day logistics, etc.
- Maintain, update and present recurring HR reports in the areas of recruiting, turnover, payroll, etc.
- Maintaining electronic personnel files, including scanning and shredding HR documents in accordance with General Data Protection Regulations
- Support the administration of employee leaves of absence
- Frequently interact with managers and heads of various departments to disseminate information.
- Provide administrative support for the creation, management and ongoing update of policies & procedures, SOP documents, and employee correspondence
- Acting as the first point of contact for all personnel queries
- Process HR invoices and weekly, biweekly and monthly remittances
- Assist with investigation of employee relations matters, collecting evidence, and take notes during related investigation, discipline and grievance hearings
- Manage incoming and outgoing department mail
- Any other duties as and when required, including involvement in HR Projects
Qualifications
Education and/or Experience
- Associate's degree in related field, 12 months of related experience, or a combination thereof.
Qualifications
- Excellent verbal and written communication skills. Ability to speak Spanish is strongly preferred.
- Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
- Excellent organizational skills and attention to detail.
- Proficient with Microsoft Office Suite or related software.
- Proficient with or the ability to quickly learn payroll management, human resource information system (HRIS), and similar computer applications.
Physical Requirements
- Prolonged periods of sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
- Ability to travel to all NYCSBUS depots
