The Role and Function of the HS Athletic Administrative Assistant
The HS Athletic Administrative Assistant supports the efficient operation of the athletic department by managing administrative tasks, coordinating schedules, handling communications and organizing of sporting events and activities.
The Positional Responsibilities
1.Create online rosters for all Football teams for reporting and tracking including the timely completion of official rosters to the NIAA for athletic eligibility and academic awards; submission of team photos and roster for post season publication.
2.Place orders and track receipt and payment for all athletic equipment, uniforms, services and supplies.
3.Responsible for the NIAA academic award tracking and reporting for each sport.
4.Coordinate all athletic events including bank, tickets, deposits and supervise gates at paid event. This also includes scheduling and training volunteer workers and reporting hours worked to Finance.
5.Order and maintain inventory of all awards for athletic programs and events including process and pick up orders and printing certificates for all sub-varsity athletes as well as items needed for Senior nights.
6.Responsible for all travel for athletic events including hotel, flight and vehicle reservation. This also includes managing school credit card information for athletic travel and reserving and checking out gas credit cards and school vehicles for all school events.
7.Process high school coach applications through HR and certifications including the production of ID badges.
8.Responsible for producing booster membership cards and tracking varsity football seating and parking for members.
9.Assist with special events and other tasks as required.
Education, Knowledge, Skills and Abilities
Excellent computer skills with proficiency in Google workspace, Microsoft Word, Excel and PowerPoint (and their Apple equivalent). Must be very organized and punctual with deadlines, with the ability to problem solve and multi-task. Must be proficient in money handling and manage confidential information with discretion. Must present a professional and friendly demeanor when working with volunteers, coaches, parents and players. Must be able to work a flexible shift to accommodate game schedules.
The Mega-limitation
When representing Faith Lutheran Middle School & High School, the HS Athletic Administrative Assistant shall not act in a manner that is unethical, imprudent, illegal or inconsistent with the Christian faith, the articles of incorporation, By-laws, policies or mission of Faith Lutheran Middle School & High School.
Salary and Benefits
The HS Athletic Administrative Assistant is a full time, non-exempt 12-month hourly position. The pay range is $18 - $20 per hour. Benefits include: medical, dental and vision coverage, pension, 403b retirement savings, vacation/personal/sick time, paid holidays and student tuition discount of 50%, if applicable.
