Role Summary: The HR/Payroll Coordinator plays a pivotal role in supporting and facilitating seamless payroll and human resource processes. This involves administrative tasks within the human resource function, including record-keeping, file maintenance, and data entry. Additionally, the coordinator addresses benefits-related issues and ensures the optimal utilization of plans, fostering positive relations with employees.
Key Responsibilities:
Human Resources:
• Facilitate the recruitment process, managing background checks, scheduling drug screens, and coordinating physicals.
• Oversee onboarding procedures for new hires, ensuring I-9 documentation verification, and coordinating orientation and training.
• Maintain confidential personnel records, including I-9s, to meet compliance and audit standards.
• Manage Driver files and external applications adhering to DOT & FMCSA standards.
• Administer the Random Drug Screen program in collaboration with the Consortium and management.
• Ensure compliance with Federal, State, and local employment laws.
• Coordinate employee training sessions and development programs.
• Track employee training completion and maintain comprehensive training records.
• Address employee queries and concerns, actively promoting a positive workplace culture.
• Conduct reconciliations and audits of benefits statements.
• Assist in the administration of health and welfare plans, handling enrollments, changes, and terminations.
• Prepare and disseminate HR-related communications.
• Maintain internal HR communication channels.
• Undertake other duties and projects as assigned.
Payroll:
• Execute weekly payroll accurately and punctually, including thorough auditing of timesheets.
• Manage weekly certified wage reporting, reconciling with external vendors and customers.
• Respond to general employee inquiries related to payroll matters.
• Assist with entry-level accounting tasks and generate reports for accounting purposes.
• Stay abreast of changes in payroll and tax regulations.
• Accurately process financial compensations or deductions (e.g., bonuses, garnishments, monthly reimbursements, etc.).
• Collaborate with employees, managers, and other departments to resolve payroll-related issues.
• Utilize payroll software for efficient payment processing.
• Maintain meticulous payroll records and employee data.
Qualifications:
• Construction industry experience
• Certified payroll experience
• Excellent communication and interpersonal skills, emphasizing relationship-building.
• Strong organizational abilities with meticulous attention to detail.
• Self-motivated and adept at prioritizing multiple assignments while meeting deadlines.
• Intermediate computer skills, including proficiency in Microsoft Office.
• Familiarity with office equipment operation (copier, fax, scanner, postage).
• Exceptional commitment to maintaining a high level of confidentiality.
Working Environment/Physical Requirements:
• Office Environment.
• Extended periods of sitting at a computer terminal.
• Occasional standing, walking, and lifting up to 35 pounds.
• Vision requirements include close and distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
Requirements:
• Minimum of 2 years' proven experience in a Human Resources position.
• Knowledge of HR policies, procedures, and best practices.
• Experience with HRIS and payroll software.
• Preferred previous experience and knowledge of payroll processing, regulations, and compliance.
• Proficient in Microsoft Applications, including Word, Excel, and Outlook.
• Valid Driver’s License and clean MVR (Must maintain a valid driver’s license throughout employment).
• Successful completion of pre-employment, random, post-accident, and reasonable suspicion drug screens.
• Satisfactory results from a pre-employment background check.
