The Position
The Human Resources Generalist is responsible for performing HR related duties on a professional level and works closely with the Human Resources Manager. This position carries out responsibilities in the following functional areas: benefits administration, employee relations, training, performance management, onboarding, policy implementation, recruitment/employment, and employment law compliance. Interns may average between 8 to 20 hours per week depending on the criteria developed by their Institution for credit hours.
Duties
The following duties are normal for this position. These are not to be construed as exclusive or all-inclusive. Other duties may be required and assigned.
Administers and provides assistance and information on matters pertaining to recruitment and selection, compensation, benefits, payroll, training and employee relations/EEO.
Plans, organizes, schedules, communicates and conducts various meetings, seminars, job and or benefit fairs, community events, programs and trainings related to Human Resources.
Assists in the development and presentation of training modules.
Maintains a high level of confidentiality and professional integrity involving employee and department concerns at all times.
Receive, review and process a variety of forms, documentation and other correspondence associated with the Office of Human Resources operations within designated timeframes; distributes, files and maintains documents as appropriate.
Prepares, updates and maintains personnel, retiree, vested and medical filing system; maintains employee master file in EnterpriseOne (E1).
Conduct studies/analysis research and investigations on various Human Resources related topics, concerns and/or issues and present findings to appropriate agency or personnel.
Communicates with employees, management, city officials, brokers, third party administrators, actuary, the public or other regulatory agencies or individuals to coordinate work activities, review status of work, exchange information or resolve issues; responds to routine requests for information/assistance from employees, officials, the public or other individuals.
Compiles, monitors and/or submit various Human Resources administrative and/or statistical data to various regulatory agencies, other city departments, brokers, third party administrators, actuary, vendors, city leadership and employees within designated timeframes.
Create, update and/or complete forms, reports, correspondence, job descriptions, surveys, certificates, and training/educational material; distributes, files and maintains as appropriate.
Responds to requests for information and/or assistance from employees, management, city officials, brokers, actuary, third party administrators, the public or other regulatory agencies or individuals; provides or verifies oral and/or written information as appropriate.
Participate and/or present various Human Resources related topics to new employees during New Employee Onboarding.
Conducts studies, analysis and research to improve current Human Resources processes and support new initiatives.
Performs various audits and reconciliations; correct discrepancies immediately.
Calculates hours worked, benefit premiums, payroll deductions and retirement benefits.
Initiates requests for supplies and new and/or replacement material.
Maintains a comprehensive, current knowledge and awareness of applicable laws, regulations, policies, procedures, new trends and advances in the HR profession; reads professional literature, maintain professional affiliation; attends workshops, seminars and training sessions as appropriate.
Assists applicants with the application process; pre-screens employment applications for minimum qualifications; assist with the interviewing and selection process; verifies documentation for education and certification requirements; verifies employment and reference checks; and updates/maintains human resources applicant tracking system.
Posts job vacancies; updates Vacancy Lists; updates Job advertisements including salary information; responds to inquiries about vacant positions.
Provides excellent customer service; answers the telephone; provides information, guidance and assistance; takes and relays messages or directs calls to appropriate personnel; returns calls as necessary.Perform all other duties that may be assigned.
Supervisory Responsibilities
This job has no supervisory responsibilities.
Minimum Qualifications
Currently enrolled in a college/university as a junior or senior; or enrolled in their second year of a technical college.
Must be a United States citizen or authorized to work in the United States
Seeking students within the program of study: Business Administration, Business Management, Public Administration or related fields
Pass a drug screen and background check
Current earned grade point average of 2.5 or better
No relative of the Mayor, any Commissioner, the City Manager, or any staff member of the Office of Human Resources shall occupy an Internship position with the City; in addition, relatives of city employees shall not be assigned an internship if such arrangement will result in one relative supervising another relative, or where one relative occupies a position which influences the relative's internship position.
