Summary
Reporting to the Chief People Officer, the Senior Human Resources Generalist will provide a variety of complex, routine, and HR administrative services in support of departmental and operational goals. This role will not only collaborate with the department in various projects and data maintenance, but also support employees of the organization through a variety of human resource functions daily.  The ideal candidate must have a solid desire to work in a service-oriented role where excellence in customer service is the standard and be able to maintain confidentiality in all personnel matters. The Senior HR Generalist responsibilities include but are not limited to those listed below.
Human Resources

  • Provides support to CPAO by executing a wide variety of semi-complex tasks in the Human Resources function for the organization

Recruiting:

  • Recruitment for Manager level positions and below, acts as initial contact for all new potential candidates.
  • Conducts initial prescreens for Manager level positions and below. 
  • Coordinates all aspects of internal Hiring Committee scheduling, candidate interviews/travel/scheduling and administration of behavioral interviewing sections for Hiring Committee for every candidate interview.
  • Maintains all candidate scorecards and administers post-committee follow up process.
  • Manages offer phase for Manager level positions.


Onboarding:

  • Manage ADP onboarding & benefits orientations.

Offboarding:

  • Conducts Exit Interviews for all Manager level candidates.

Benefits and Open Enrollment:

  • Attends all meetings with benefits broker and works with CPAO on analysis of Open Enrollment options.
  • Coordinates annual open enrollment portal in ADP for benefits which includes processing enrollment forms and administrative coordination with benefits broker and carriers.
  • Manage all EDI/Carrier Connection implementation and ongoing administration between ADP & Carriers.
  • Benefit Reconciliations – Responsible for all monthly benefit reconciliations as well as initiate check request/payment approvals for HR vendor invoices.

Payroll:

  • Handles multi-state and multi-country timesheet reconciliations in conjunction with payroll.  This includes new hires, transfers or promotions, and terminations in accordance with applicable regulations.
  • Process multi-state timesheet reconciliations in conjunction with Senior Accountant regarding payroll. This includes new hires, transfers or promotions, and terminations accordance with applicable regulations.
  • Manage all status change forms, obtain necessary manager approval(s) and enter changes into the HRIS for new hires, terminations, rate changes, and promotions. Seek guidance from CPAO as needed.

HRIS System:

  • Collaborate with internal department managers as needed for data integrity in ADP.
  • Respond to all employee inquiries regarding pay, time off, and ADP matters and work in conjunction with Finance and CPAO as needed.
  • Maintenance of employee master files, review accuracy of records and conduct audits to ensure data integrity (I-9 files, new hire checklists, benefits files etc.).
  • Manage all status change forms, obtain necessary manager approval(s) and enter changes into the HRIS for new hires, terminations, rate changes, and promotions.  Seek guidance from CPAO as needed.
  • Be the primary point person for ADP Workforce Now portal including Recruitment, Benefits, and New Hire set up.
  • Generates various reports in ADP as requested by management or CPAO

Compliance and Audits:

  • Conduct regular audits of overtime, vacation, paid sick time balances, etc. and correct or follow-up with managers as needed.
  • Support legally mandated reporting requirements.
  • Conduct semi-monthly PTO audits to ensure correct Accrual.
  • Respond to unemployment inquiries, unemployment claims, fills out the paperwork, follows up on instructions from CPAO regarding what information to provide and forward to DOL timely.
  • Assist with completion and submission of compliance reporting including EEO-1, and OSHA 300.
  • Manage remote employee Remote Operating Expense Annual Audit spreadsheet
  • Assist with yearly filing requirements

Employee Relations:

  • Respond to tier-two inquiries from employees regarding Human Resource policies and procedures.
  • Resolves issues appropriately or escalate to CPAO as necessary.
  • Assist in the administration and roll out of various HR programs.

Leave of Absence:

  • Process initial requests and paperwork for leaves of absence.
  • Ensures Interactive process is followed in a timely manner.
  • Escalates complex LOA issues to CPAO as needed.

Required Experience & Skills

  • 5+ years’ HR experience
  • 2+ years’ working with ADP Workforce Now platform or similar HRIS system
  • Experience with benefit administration preferred
  • Attention to detail.
  • Professional manner in person and on the telephone.
  • Demonstrated experience and ability with providing excellent and timely customer service
  • Excellent interpersonal skills including the ability to listen well and communicate clearly.
  • Ability to organize, prioritize and accomplish multiple tasks
  • Must be self-motivated and able to work independently.
  • Ability to work as a team member with various groups of individuals including all levels of management.
  • Thorough knowledge of Microsoft Outlook, Word & Excel. 
  • Ability to adapt to change.
  • Knowledge of state and federal employment laws a plus
  • Outstanding analytical and decision-making skills.
  • Ability to handle difficult/delicate situations with diplomacy and tact.
  • Results-oriented and solutions driven.
  • Willingness to collaborate and achieve results in cooperation with others.
  • Must be technically savvy


Education

  • Bachelor’s Degree or equivalent experience strongly desired
  • HR Certification a plus
