HR Assistant
- Assists with staffing process from recruiting, on-boarding, identify, arrange, and job description preparation and audits.
- Partner with department leaders to mitigate staffing concerns and provide proactive and responsive solutions as needed.
- Assist with accurate processing of employee data in various databases and processing systems.
- Build and maintain strong professional and collaborative relationships with department leaders, team members, HR Consultant.
- Assist with development and delivery of leadership training (interviewing, staff selection, database administration).
- Manage unemployment claims with timely responses and accurate record retention to meet all post-employment inquiries.
- Review, audit, and communicate with department leaders regarding candidate status, performance evaluations, transactional paperwork, etc.
- Data entry of all employee information (personal, job, pay, benefits, performance management, training)
- Review performance evaluations and corrective actions and provide guidance to department leaders.
- Must be physically present to work a regular, reliable, and predictable work schedule in accordance with business demands, and maintain a consistent and regular attendance record.
- Perform special projects and other responsibilities, tasks, or duties with other departments as requested.
- Advise employees on company policies and procedures
- Ensure compliance with federal, state and local employment laws as well as company policies and procedures
- Work closely with management and employees to improve work relationships, build morale, increase productivity and retention
- Maintain records for mandatory training, continuing education, tuition reimbursement, and disciplinary documentation
- Monitor leaves of absence
- Participate in the design, development and updating of policies and procedures
- Assess and identify process or procedure opportunities and prepare recommendations for improvement
- Assists with following up on attendance and timekeeping w workforce.
- Assists with counseling associates.
- Assists all departments with ensuring the provision of a safe work environment for associates by monitoring safety practices and assessing and eliminating hazards.
- Uphold a strict level of confidentiality
- Sorting and sending mail
- Greeting visitors
- General office maintenance including maintaining office supplies and organization, file maintenance, annual archiving
- Benefits admin (enrollments, terminations, changes, w/d requests, etc.)
- Monthly Workers Comp reporting
- Review the health insurance bills and audit vs payroll records
- Working with our health insurance provider to make changes and adjustments
- Business Insurance Renewals (obtaining quotes from agents and presenting them to staff)
- Final check processing up to the point of cutting the check (calculating final hours due, notifying payroll company that we need net pay info)
- Onboarding – new hire paperwork, showing the employees around, making sure their work stations are ready for them w/ computers, emails, etc.
- Safety Meetings / Disaster Planning escape plans for active shooters, earthquakes, other emergencies
