The HR Administrator will directly support the VP, HR including coordinating schedules, meetings, and daily administrative tasks.
Roles & Responsibilities
Supports the VP, HR with daily administrative tasks, including:
oManages the VPs calendar and coordinates meetings
oSends organizational announcements, department emails, and Leaders Digest
oAnswers VPs phone and delivers messages
Coordinates HR department quarterly meetings:
oOrders catering
oSends out meeting invites
oCreates PowerPoint presentation
Administers the company service award program:
oRuns a monthly report for retirees from previous month
oReviews each retiree on the report to confirm they are eligible
oRuns a monthly report for anniversaries
oFilters the report to capture employees according to their award level
oSends final reports to vendor representative
Serves as the first point of contact for the Emergency Relief Program:
oEnsures all paperwork is submitted by employee
oSets up meeting for Directors review
oRequests check from treasury
oFedEx check to employee along with copy of receipt and return envelope
oStores Wells Fargo bank statements monthly
oMaintains reconciliation master file updated
Invoices:
oSubmits invoices to Accounts Payable
oCreates check requests
oCodes invoices in Markview and sends to appropriate director for approval
oKeeps track of spending
Answers HR main phone line and transfers calls accordingly
Submits office equipment repairs/facility requests
Updates company SharePoint site
Creates expense reports via Chrome River for HR Leaders
Administers Ask Leadership questions that are submitted by employees
Prepares workspace for visitors/new hires for the department
Assists HRBPs in coordination for terminated employees personal belongings/return of equipment
Coordinates blood drives for the Houston office
Updates/Submits changes annually for the TOP Form in BCP Plan
Updates HR contact lists and WFH schedule for distribution
Upload employee photos in Workday profiles
Orders and distributes office supplies for the department
Orders flowers/creates check requests for charitable donations for US employee
Requirements
High School diploma
Knowledge and some experience with HR systems
Demonstrated skills in time management, organization and prioritization, and scheduling of work tasks
Strong skills in Collaboration and Teamwork, Attention to Detail, Building Relationships, Customer Focus, and Self-Awareness
Demonstrated ability to maintain highest level of confidentiality and exercise excellent judgment in all situations
Timely and accurate written and oral communications.Able to read, write, and speak English fluently
Proficiency in Microsoft Office suite
