Title: Office Secretary
Qualifications:
■ Student-centered and people-oriented with a positive demeanor and attention to customer service
■ Strong written and oral communication skills, communicating effectively with people from varying ages and backgrounds
■ Maintains composure under pressure by positively adjusting to challenges and stress
■ Maintains composure under pressure with the ability to follow safety protocols during emergencies
■ Keep confidentiality in all matters related to student and personnel information
■ Ability to work with minimal direct supervision
■ Ability to pay close attention to detail
■ Proficient in Google applications, as well as Microsoft Office suite
■ Knowledgeable in or adaptable to web-based programs currently used, such as Canvas, Skyward, etc.
■ Complete work in a timely manner to meet deadlines
■ Ability to multitask
■ Maintain high standards as a role model and professional while advocating the skills, mission and objectives of the school and district
■ Promote good citizenship, be understanding and fair, and display a character of integrity
■ Effectively communicate with students, parents, teachers, media, administrators and other groups within the community
■ Work in collaboration with other staff members, across all departments, to enhance the learning experience for all students
■ Ability to sit in front of a computer for prolonged periods
■ Demonstrate necessary organizational and leadership skills
■ Willingness to crosstrain and be a team player
■ Comply with all district policies, rules, and regulations
■ Such alternatives to the above qualifications as the Board may find appropriate and acceptable
■ Education beyond High School preferred
■ Spanish speaking preferred
Job Goal:
■ Customer/Student Service and Communications
Answer phone and direct calls
Greet and direct students to appropriate administrators
Prepare and send automated communications
Management of Staff Absences and Coverage by Substitutes
Monitor AESOP and find coverage for absent teachers without substitute teacher coverage
Create sub folders each year with packets that contain emergency procedures
Assign utility aides as needed
■ Data Entry and Maintenance in Skyward
Run Data Mine Reports
Assign Lockers in Skyward
Assign Homerooms in Skyward
Update new staff & room numbers in Skyward each year
Create and maintain Special Education Rosters in Skyward
Assign Student Aides/Peer Tutors in Skyward
Create Study Hall sections, assign teachers, and distribute students
Maintain master schedule spreadsheet
■ Collaboration with Assistant Principals on Key Projects
Assist with Freshman Orientation
Testing Coordination and Communication (AP/ASVAB/ILEARN/SAT/PSAT/IAM)
Assist with Academic Excellence Awards planning
Assist with summer school planning, forms, and communications
Assist with VHS Commencement preparations
■ Collaboration with Deans of Students on Key Projects
Manage Detention and Wednesday Class schedules and reports
Assist the VHS Attendance Office with data entry
Prepare discipline reports
■ Preparation of Forms and Reports for Office Needs
Create weekly Attendance Report for Admin
Create administrator hall passes and forms for the office
Create fill in forms for building upon request
Assist with dance forms and processes (Homecoming, Winter Formal, Prom, Non-VHS)
Create VHS Staff Assignments Google Sheet each year and send out to VHS Faculty
Prepare probation reports
Create forms for subs
Sub attendance slips, Sub Teacher Report, etc.
■ Provide proofreading, editing, and typing services
■ Manage Ordering and Supply of Dispensers
■ Other duties as assigned
