JOB TITLE: School Secretary

SUMMARY: Performs secretarial duties, which includes clerical work, greeting visitors, answering the telephone, scheduling appointments, and minor administrative and business tasks.
ESSENTIAL FUNCTIONS include the following:
1. Greets students/visitors; ascertains nature of business; provides needed service or directs students/visitors to appropriate destination.
2. Answers telephone and provides information to callers or routes calls to appropriate destination; practices appropriate telephone etiquette.
3. Opens and routes incoming mail.
4. Composes, prepares, distributes, and files correspondence.
5. Compiles, prepares, distributes, and files statistical reports.
6. Copies, distributes, and files printed materials.
7. Prepares outgoing mail.
8. Maintains confidentiality with respect to all job-related information.
9. Maintains inventory of needed office and/or school supplies as authorized.
10. Maintains a safe, clean, and orderly office area.
11. Performs such other tasks as may from time to time be assigned.

EDUCATION and/or EXPERIENCE:
High school diploma; prior experience and/or training in a related field; or equivalent combination of one or two years education and experience.
LANGUAGE SKILLS:
Ability to read and interpret documents such as rules, financial records, and procedure manuals. Ability to write routine reports and correspondence. Ability to communicate in a positive manner with administrators, faculty, parents, and members of the community.
MATHEMATICAL SKILLS:
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
REASONING ABILITY:
Ability to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations. Ability to use equipment and work aids associated with this type of work.
OTHER SKILLS:
Ability to perform keyboarding, document formatting, word processing, and other technology skills appropriate to the functions of this job. Ability to work effectively with many activities and numerous interruptions.

Additional Athletic Responsibilities:
  1. Assist in handling questions from parents, public, teachers, counselors, and administrators concerning all athletic and extra-curricular activities.
  2. Assist in compiling information and preparing reports, schedules, correspondence, athletic handbook, team rosters, etc. as needed.
  3. Maintain record of student physicals and athletic/extra-curricular eligibility. Prepare reports as necessary.
  4. Maintain athletic and extra-curricular webpage.
  5. Schedule the use of NMS gymnasium.
  6. Schedule and verify transportation for all athletic and extra-curricular activities.
  7. Assist in securing workers for all athletic and extra-curricular events.
  8. Maintains inventory of needed athletic department supplies as authorized.

Additional Guidance Responsibilities
  1. Maintain and file records/transcripts.
  2. Manage/Schedule student and parent meetings.
  3. Run reports i.e. Honor Roll, ME, SE, and Ineligible
  4. Enter PowerSchool data.
  5. Assist with various school-wide and need-based events.
  6. Help coordinate guidance activities.
