Position Title: Principal/Vice Principal SecretaryFLSA Status: Non-Exempt
Responsible to: Building Principal, Assistant Principal, Supervises: none
Evaluated by: Building Principal/Assistant Principal
Terms of Employment: 8 hours/day
200 - 210 days/year
Evaluation Period:
  • Formative evaluations throughout the school year as per WCS Performance and Assessment Procedures.
  • Annual summative evaluation prior to July 1.
Purpose of the Position:
  • To assist immediate supervisor with the day-to-day responsibilities while presenting a personable/ professional public image for the school.
Minimum Requirements: The following are the qualifications and minimum requirements necessary for a person to perform this job.
  • High school diploma and post-secondary training or work experience
  • Strong organizational and leadership skills
  • Excellent communication skills both oral and written
  • Ability to be bonded
Essential Functions of the Position: The following functions have been determined by Wa-Nee Community Schools to be essential to the successful performance of this position.
  • Responsible for reporting monthly and bi-weekly payroll.
  • Accept phone calls directed to the supervisor.
  • Screen calls evaluate nature of call and resolve or re-direct.
  • Maintain supervisor's voice mail, as requested and scheduling of appointments.
  • Prepare all reporting as required by Central Office; this includes opening and closing of school documents, membership reports, staff/schedule of assignments, state reports and any other reporting requested.
  • Maintain records and process vendor orders for building.
  • Request and track work order requests.
  • Maintain all confidential personnel files for building.
  • Process and direct documentation to staff from supervisor.
  • Receive, review, and distribute mail sent to supervisor.
  • Work closely with PTO/PTA, Community Foundation, and/or Boosters to coordinate events.
  • Set up and keep books in conjunction with the requirements and accepted procedures of the State Board of Accounts.
  • To receipt money and deposit daily. When money is received to deposit in an extra-curricular account (1) Write a deposit ticket in the amount of the money (2) Write who is depositing the money and to what account.
  • Give receipt to those who turn-in money for extra-curricular accounts.
  • Pay all bills promptly and to keep posting to various accounts up to date so as to furnish a balance in each account at any time.
  • Prepare reports and financial reports as required by law and in the area served.
  • Make an end of the year report regarding extra-curricular account.
  • Send fee statements at beginning of school and one each quarter.
  • Provide principal with a balance of all accounts each month after bank reconciliation.
Secondary Functions of the Position: The following functions, while important and necessary to the position, have been determined by Wa-Nee Community Schools to be marginal to the successful performance of this position.
  • Perform other duties and responsibilities as needed or as directed by the Building Principal, Director of Guidance, Business Manager, or Superintendent.
Knowledge of:
  • Policies, procedures and functions of Wa-Nee Community Schools Board of Trustees and the Indiana Department of Education
  • Applicable software and applications
Ability to:
  • Plan, organize, and schedule priorities.
  • Use independent judgment and initiative in making sound decisions and in developing solutions to problems.
  • Discreetly handle confidential and politically sensitive matters.
  • Make independent decisions in accordance with established policies and procedures.
  • Tactfully and courteously respond to requests and inquiries/complaints from the general public and staff.
  • Communicate clearly and concisely, both orally and in writing.
  • Establish and maintain effective working relationships with students, staff, and the community.
Equipment Used:
  • General Office Equipment (computer, telephone, copier, fax machine).

  • Assigned Wa-Nee Community School building
Physical Demands:
  • Must be able to sit and/or stand for long periods of time.
  • Must be able to stoop, kneel or crouch.
  • Must be able to hear and speak clearly.
  • Must be able to lift items of 20 lbs. regularly/50 lbs. occasionally.
