The Office Assistant acts as the first point of contact for the business. A successful person in this role will have the ability to multi-task, greet clients with a friendly and professional demeanor, answer live phone calls, prep supplies and marketing material for events, handle mail and deliveries, support the staff and facility needs to ensure operational duties are met and the office is running smoothly.
Key Duties & Responsibilities:
- Open the office each day to prepare for clients and staff
- Greet clients as they arrive and follow the check-in procedures for visitors to keep our office secure
- Answer phone calls and emails and communicate relevant information to the appropriate parties
- Track facility needs and report issues as needed to DOCO
- Maintain a clean and safe work environment in all communal areas
- Support coordination of materials for events
- Assist staff in daily operational needs
- Manage supply inventory and coordinate orders on a weekly basis
- Provide admin support during onboarding/termination process
- Hold social chair role, managing staff birthday treats/cards, the Bee’s Knees Award and other staff activities
- Provide admin support to logistics of daily operations of IOP/PHP
- Other tasks as assigned by the Executive Leadership Team
Qualifications:
- Possesses strong customer service skills, interpersonal skills, organizational skills, and time management skills
- Has experience answering telephone calls, troubleshooting stressful situations and working in a fast-paced environment
- 1 year of experience as a receptionist, administrative assistant (required)
- 1 or more years of health care experience and HIPAA trained (required)
- Exhibits working knowledge of Microsoft Excel and Outlook
- Knowledge of additional platforms such as Canva, Salesforce or other CRM systems preferred
- Must have graduated high school, received a G.E.D. or equivalent
Job Type: Full-time
Pay: $20.00 - $22.00 per hour
