Job Description
This position will provide administrative support to the Grants Team and assist with all aspects of grant research, development, and management. The position will have primary responsibility for maintaining documents, data systems, project calendars, and application and reporting deadlines. The position will also conduct research and monitor funding opportunities available through foundations, corporations, and government entities. The Grants Coordinator will draft a variety of written materials including funder correspondence, grant applications, and reports, under the mentorship and supervision of the Grants Team. Working within a team, the position will work to optimize the functioning of the Grants Team in support of Interfaith's mission. Duties and Responsibilities include:
- Maintain, edit, and update a digital library of documents that are frequently used for grant submissions. This includes but is not limited to: program information, financial documents, board lists, licenses and permits, staff resumes and job descriptions, signing authorities, and organization charts.
- Create and maintain master files for funders and grants.
- Maintain grant department accounts with various funding entities, maintaining user names, passwords, and portal sites.
- Conduct research on funder prospects and funding opportunities, funding opportunity summaries and funder profiles
- Maintain annual calendar of grant application and reporting deadlines.
- Prepare grant progress and final reports.
- Prepare funder thank you letters and other correspondence.
- Coordinate funder acknowledgements, including media promotion, working in collaboration with the Development Department.
- Conduct data entry across platforms including Raiser’s Edge, Monday.com, Microsoft 365, and other systems. Conduct periodic audits to ensure records are complete.
- Maintain and update organizational listing on charity sites.
- Monitor and provide summaries of local, state, and federal funding opportunities, meetings, and funding decisions.
- Conduct subject-area research, collect and organize articles, and maintain statistics (e.g. census data).
- Draft and edit grant proposals, under the supervision of Grants Team.
- Prepare internal reports to support planning, budgeting, and project management.
- Write and edit client impact stories, working in collaboration with Development Department.
- Assist with contract initiation process, including preparing materials and scheduling grant initiation meetings.
- Attend Grants Team meetings, proposal development meetings, and other agency and community meetings.
Skills and Competencies:
- 1+ years experience in non-profit setting or other related experience.
- Demonstrated skills in writing, editing, and research.
- Excellent verbal and written communication skills.
- Excellent organizational and project management skills, with ability to prioritize tasks and deadlines.
- Experience and proficiency with Microsoft Office, Microsoft 365, and Customer Relationship Management (CRM) systems preferred.
- Bachelor's degree preferred, but not required.
- Ability to adapt and learn.
