Position Summary:

The Program Administration Coordinator’s primary responsibilities are to monitor and support the  Unlocking Innovation (UI) department’s larger grants, program data analysis and reporting, and overall department budget. This is a role that will work closely with other departments including: Finance (on budgets and expenses), Compliance (on grants and on-site audit preparation), Development (on grant proposals and grant reports), as well as all the UI program team members.  Additionally, this role is focused on ensuring project management and results tracking across the UI department. This position is based at LACI’s headquarters in Downtown Los Angeles and reports to the SVP of Unlocking Innovation

What You’ll Do:

  • Grant Administration: Serve as the department’s internal Grant Administration coordinator for the Incubation Team’s largest grants such as Economic Workforce Development Department (EWDD), Regional Energy Innovation Clusters (REIC), etc. by understanding goals and requirements of each grant and  ensuring the organization follows procurement processes
  • Track progress and due dates: On  departmental quarterly and annual performance metrics and prepare an internal department summary report as well as reports for org-wide dissemination. 
  • Budget Monitoring: Support the SVP with the department budget, including coding and verifying expenses, tracking budget spend-to-dates, documenting expenses, and flagging any budget concerns.
  • Documentation/Filing: Work with UI program team members to ensure all required  program documentation is collected, verified, analyzed and archived per grant guidelines and LACI processes. Ensure all key program startup activities and milestones are accurately documented in Salesforce and producing regular program progress and outcome  reports (e.g, follow on funding, job creation, revenue generation, etc.).
  • Support all grant proposal submissions: By drafting language, providing program data or reports, and gathering any additional information needed by the Development team.
  • Collaboration: Work closely with Incubation Program, Recruitment and Investor Relations teams on achieving UI departmental goals. Work with the Finance and Compliance teams on grant reporting and reimbursement submissions.

  • You’re adaptable. You can flex comfortably between working independently with limited supervision, and operating fluidly within a dynamic team environment.

Requirements:

Basically, we want to know you can get the job done. This means you have:

  • Bachelor’s degree in Business or related field
  • Minimum of 2-4 years work experience
  • Direct grant management and reporting experience
  • Project management experience
  • Strong knowledge of budget fundamentals
  • Excellent interpersonal, communication, organization and time management skills
  • Salesforce or other CRM experience (preferred)
  • Flexible, detail oriented self-starter with the ability to work effectively in a fast-paced environment both independently, with limited supervision, and within a team

Work Requirements

  • Must work onsite from LA office two days/week

Position Details:

This is a full-time position, starting immediately. LACI operates out of the La Kretz Innovation Campus, in the bustling Downtown LA Arts District. Since we are rapidly growing, you will be getting in on the ground floor at LACI, with the opportunity to evolve with us and shape your future here. Some travel may be required.

Salary Range: Coordinator Range $52-64k commensurate with experience, education, skills, etc and total compensation package including health benefits, 401k match, professional development, commuter benefits and more.
