Job Purpose:
The Grants Associate, Substance Use Initiatives will be responsible for providing payment processing, contractual, and budget reporting support for Overdose Prevention and RESET Alcohol. The Grants Associate will have an opportunity to work with a global program team of staff and consultants based in the US, Latin America, Africa and Asia.
This is a full-time position based in either our New York office, or the NY Tri-state, where a hybrid, 2-day-per-week office schedule is in place. We offer highly competitive compensation and comprehensive benefits. The salary range for this position is $54,000 to $63,000 USD.
Duties and Responsibilities:
- Prepares and processes payment and per diem requests, review for proper coding;
- Communicates with staff and vendors to solve invoice, payment request and per diem inquiries;
- Enters and reviews purchase orders for all affiliated project agreements in NetSuite;
- Advises consultants/meeting attendees, etc. regarding proper payment processing procedures;
- Reports and meets with program staff to review reports as needed;
- Reviews/reconciles select subgrantee quarterly reports and liaises with subgrantees regarding required updates as needed;
- Assists Senior Grant Manager, Substance Use Initiatives and Data Analyst, Public Health Programs to review and update monthly reporting data sets for Power BI budget dashboards;
- Tracks payments submitted for project to help facilitate expense analysis;
- Provides Program with payment status updates as requested;
- Performs other related duties as required and assigned.
Qualifications:
Skills and Abilities -
- Intermediate to advanced expertise in MS Excel, including proficiency using pivot tables, V-lookups, and formulas;
- Strong analytical and problem-solving skills;
- Ability to maintain high standards of customer service through responsive and timely communication;
- Extremely well organized with and highly attentive to detail;
- Able to manage multiple projects on strict deadlines.
Experience:
Required -
- Minimum 3 years of progressive experience in accounting, finance, and grants management.
Preferred -
- Prior experience working for grant-funded programs preferred.
