Job Description
The Grants Manager is responsible for managing the preparation, planning, organization, submission and administration of grants through all phases of the grant-funding process.
The position is also responsible for creating, compiling, tracking and organizing grant-specific collateral and reference materials, and for editing and submitting grants and periodic contract expenditure reimbursement vouchers.
Responsibilities:
- Oversee and manage the daily grant/contract process, including collaborating with the Director, Institutional Giving regarding grant opportunities.
- Monthly Preparation of documentation, reports, and coordination of the administrative process of the grant program.
- Assist development of grant proposals and applications, including development of proposal budgets.
- Assist in managing system for recording, tracking grant prospects, schedules, proposals, awards and required reporting.
- Develop and maintain a library of reference documentation, including such information as grantor requirements and forms and reference literature.
- Assist with reviewing appropriate components of each grant submission, ensuring that the proposal is formatted, packaged and submitted in accordance with grantor's requirements.
- Preparation of monthly, quarterly reimbursement expenditure vouchers.
- Monthly Monitoring and reporting of programmatic financial budgets to CFO and Program staff.
- Respond to funding agency grantors' request.
- Responsible for all financial activities applicable to grant contracts.
- Coordinate periodic reports to grantors.
- Assist with yearly agency audit by preparing A-133 letter request to funders, preparing contract analysis grids showing revenue and expenditures for each grant, gather backup documentations and provide assistance to auditors when requested.
- Prepare and Maintain monthly FTE allocation grid and allocate all shared expense in Fund EZ.
- Support Senior Accountant in the following areas:
- Receive and process check requests.
- Ensure that check requests have proper authorization, are coded and are paid on a timely basis.
- Enter and process payroll and stipend information into ADP payroll software.
- Check payroll for accuracy and enter into Fund EZ accounting system.
- Complete assigned bank reconciliations in a timely manner. Research reconciling items.
- Other duties as assigned.
Qualifications:
- Bachelor's Degree in accounting or related field with minimum of 4 years experience in managing government grants.
- Thorough knowledge of grant application policies, procedures and processes, including working knowledge of foundation and corporate research tools.
- Ability to work effectively across departments in developing, organizing and managing grant program.
- Excellent written and oral communication skills.
- Strong time management, organizational and follow-through skills with strong attention to detail.
- Proficient with MS Office tools, Fund EZ Accounting System and Raiser's Edge database & internet research.
- Ability to analyze and interpret financial data and prepare financial reports, statements and projections; knowledge of budgeting and fiscal management principals and procedures.
