SUPERVISOR: Front Office Manager
HOURS: varied hours, M-F (some Saturday hours)

JOB SUMMARY: The Front Office Staff member will work with their team to attend to and assess patients’ needs while coordinating and organizing appointments and documentation to facilitate the smooth running of JRCHC, supporting the delivery of quality patient care. This position will practice high level of ethical behavior while interacting with patients and appropriate staff.
QUALIFICATIONS:
- Experience with office equipment, word processing, spreadsheets, and other software applications to prepare reports, invoices, financial statements, letters, case histories, or medical records.
- Experience with MEDENT is a plus.
- High school diploma or GED
- Able to work under pressure while being effective, in addition to multitasking.
- Able to give full attention to what other people are saying, taking time to understand the points being made, and asking questions as appropriate.
- Experience working with diverse, multilingual populations highly desired.
Essential Job Duties
PATIENT INTAKE
- Greet visitors, ascertain purpose of visit, and direct them to appropriate staff.
- Interview patients to complete documents, case histories, or forms.
- Enter accurate insurance information and verify insurance availability.
- Collect payment and provide statements to patients.
PATIENT COMMUNICATION
- Answer telephones and direct calls to appropriate staff.
- Provide customer and personal services, including customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
- Schedule and confirm patient diagnostic appointments, surgeries, and specialty appointments that may not be a direct service of JRCHC.
- Protect patients’ rights by maintaining confidentiality of personal and financial information.
COORDINATION
- Schedule tests or procedures for patients, such as lab work or x-rays, based on physician orders.
- Coordinate with other providers and hospitals to obtain or provide test results, referral approval, medical files and other records.
- Contact pharmacies to verify script was received and provide clarification as needed.
- Support providers with assistance for scheduling and obtaining records.
- Receive and route messages or documents, such as laboratory results, to appropriate staff.
ADMINISTRATION
- Operate office equipment, including check of voice mail messaging systems.
- Prepare reports, invoices, financial statements, letters, case histories, and medical records.
- Receive and route messages or documents to appropriate staff.
- Maintain and transmit correspondence or medical records, by mail, email or fax.
- Support activities such as ordering and maintaining an inventory of supplies.
PHYSICAL REQUIREMENTS: Must be able to sit or stand for long periods of time. Exert up to 50lbs. pushing, pulling, or lifting. Walking, climbing stairs required. Able to talk/hear communicate with others with or without reasonable accommodation.
