Our friendly and skilled Front Office Receptionists are key members of our care team. They welcome our patients, coordinate check in/out, and ensure all follow-up care is scheduled before patients exit our office. They also assist with administrative tasks including routing correspondence, coordinating patient documentation, and eligibility/schedule review to ensure a smooth flow for our providers’ schedules.
This role will report to the Team Lead and Practice Administrator.
Principal Duties and Responsibilities of the Front Desk Receptionist:
- Greet and welcome patients professionally and pleasantly.
- Check IN: obtain/update complete patient/guarantor demographics and insurance data, collects co-pays and balances/setting up payment plans as necessary, and obtaining signed consents.
- Check OUT: schedule return appointments, test scheduling as necessary, collects co-pays and balances/setting up payment plans as necessary.
- Answer the telephones: routing incoming calls, make appointments, and taking detailed messages and communicating as needed.
- Maintaining control of patient/provider schedules.
- Assist in canceling appointments: by phone or by mail.
- Assist in processing incoming/outgoing referrals.
- Assist in getting medical records from referring providers.
- Assist in getting referrals/authorization numbers from referring providers & entering auth numbers.
- Assist in processing/routing clinical inbox in EHR.
- Assist in processing insurance eligibility issues.
- Assist in processing Medicaid eligibility scans.
- Assist in processing appointments to schedule/reschedule.
- Assist in processing incoming/outgoing new patient packets.
- Assist in scanning/importing/faxing documents in the EHR.
- Assist in maintaining patient correspondence for pick up.
- Chart preparation: pulling/filing old paper charts and scanning into EHR.
- Correct Patient demographics on all returned mail by contacting the patient or patient representative.
- Assist in ordering supplies as needed.
- Assist all departments when help is required/needed.
- Going to designated clinical sites to preform receptionist responsibilities when required. Responsibilities also includes to assist clinical staff & providers.
- Maintain confidentiality of Patient Health Information.
- Maintain neat, orderly and cleanliness of the waiting reception area, the working reception area, and the employee breakroom.
- Open and closing duties as outlined in the opening and closing checklist.
- Follow all SIENT Policies, Procedures and Best Practices.
- Other responsibilities as requested.
REQUIRED QUALIFICATIONS of the Front Desk Receptionist:
- High school diploma or equivalent required
- Ability to work within an EMR database and navigate through a Windows environment required
- Must be able to type a minimum of 30 words per minute with 90% or greater accuracy
PREFERRED QUALIFICATIONS of the Front Desk Receptionist:
- 1-5 years of experience as a healthcare call center representative, patient access representative, patient service representative, medical scheduler, medical assistant, or medical receptionist
- Experience working in an ENT Specialist Office
SUPERVISORY RESPONSIBILITY of the Front Desk Receptionist:
This position has no supervisory responsibility.

All employees are required to provide proof of vaccination or exemption.
WAGE:
$15.50-$17.50 per hour based on experience.
