Front Office Assistant

• Manage multiple incoming phone lines in a professional and efficient manner; take complete telephone messages or direct calls to appropriate person.
• Welcome visitors by greeting them in person or on the telephone; answer or refer inquiries to appropriate person.
• Monitor visitor access and maintain security awareness.
• Use postage meter and maintain accurate records of postage expenses.
• Distribute incoming faxes.
• Process daily outgoing Invoices and Shipping Notifications.
• Provide administrative support to the customer service team, including filing and copying.
• Manage inventory of office supplies.
• Organizing customer events, set up for special events, groups, and site visits; including ordering food, tech set up, arranging desk/chairs/tables, printing out materials/agendas.
• Handling administrative requests and queries from senior managers.
• Submit and reconcile expense reports.
• Assist with various special projects as needed.

• Some college, Bachelor’s degree preferred but not required

• 0-3 years of relevant experience

• Dependable, organized with the ability to multi-task while prioritizing projects.
• Positive and friendly with strong customer service skills.
• Flexibility to pivot priorities or schedules throughout the day and work well under pressure.
• Proactive problem solver with critical thinking skills.
• Excellent written and verbal communication skills.
• Working knowledge of Microsoft Office Suites with the ability to learn new technology quickly with the ability to use internet and web based resources efficiently and effectively.
