We are looking for part-time afternoon office help to work in our Irvine office processing incoming & outgoing mail and some general office duties.
Responsibilities
- Collect and process mail by scanning, forwarding, sorting to various departments.
- Send or receive documents by email or fax to process or distribute.
- Daily drop off of outgoing mail at the post office (including processing and mailing Certified Mail) each afternoon before they close.
- Light phone duties: answering phones, transferring calls to appropriate extensions.
- Scanning, printing and mailing of all garnishment checks.
- Printing, preparing and mailing of payroll checks weekly.
- Printing, scanning, mailing projects as requested by various departments.
- Scan and email UI and Verification requests to Experian.
- Assist with sending and receiving packages via FedEx and Deliver It. Also responsible for working with carriers if packages are lost or not received at the location.
- Use computer systems for shipping and receiving including FedEx and Deliver It online.
- Post and log Certified Mail and deliver to the Post Office.
- Maintain the cleanliness and organization of the office, including monitoring and replenishment of office, kitchen, and mail supplies (such as envelopes, shipping materials, and postage), as needed.
- Facilitate office equipment maintenance, as needed.
- Will be responsible for working with employee and client information, where confidentiality must be strictly maintained.
- Safeguard sensitive financial information and adhere to strict confidentiality guidelines.
- Some office admin duties from time to time, such as help prepare the office for a client or internal team meeting.
- Perform other essential job functions as required or assigned.
Qualifications
- Organized and detail oriented.
- Experience with Microsoft Office suite.
- Experience with office equipment: computers, printers, copiers
- Works well with little day-to-day oversight.
- A self-starter.
- Able to maintain confidentiality.
- Passionate about helping others.
