Job description
A receptionist/ Adim Assistant provides office support to either an individual or team and is vital for the smooth-running of a business. Their duties may include fielding telephone calls, assisting visitors, word processing, creating spreadsheets, and filing. Additionally, a receptionist is often responsible for office projects and tasks, as well as overseeing the work of building maintenance staff.
Responsibilities-
- Greet and welcome guests as soon as they arrive at the office.
- Direct visitors to the appropriate person and office
- Answer, screen, and forward incoming phone calls.
- Ensure the office is tidy and presentable, with all necessary stationery and materials (e.g. pens, forms and brochures)
- Provide basic and accurate information in-person and via phone/email.
- Receive, sort and distribute daily mail/ deliveries.
- Contributing to the team by accomplishing tasks as needed
- Organize catering.
- Keep updated records of office expenses, bills, utilities and other costs.
- Turn on utilities for our Project Managers.
- Contact gardeners for property maintenance.
- ESSENTIAL DUTIES AND RESPONSIBILITIES: Assist to update the Project list.
-Assist to prioritize schedules for the projects
-Maintain and file the documents of project (hardcopy and digitals)
-Scan and file all documents related to permits and approved plans
-Track the original hard-copies plans and permits
-Assist to call plan checkers or inspectors
-Create weekly reports on project status
REQUIREMENTS:
- Excellent written and verbal communication skills.
- Strong organization and time management skills.
- Flexible, skilled at multi-tasking, detail-oriented and organized
- Knowledge of Google apps: excel, world,Gmail, calendar, etc..
- Monday project management app not required, but plus will train
Requirements-
- Proven work experience
- Can type a minimum of 30WPM.
- Proficiency in Microsoft Office Suite
- Equipment handling (Must be able to lift and carry up to 30lbs)
- Professional attitude, demeanor, hygiene and overall appreance.
- Solid written and verbal communication skills
- Editing and proofreading
- Bilingual preferred but not required
- Ability to be resourceful and proactive when issues arise
- Must be able to take initiative when no direction is given
- Excellent organization skills
- Multitasking and time-management skills, with the ability to prioritize tasks
