LaCourse Law is looking for a personable, friendly, and motivated Front Desk Receptionist to join their growing team of rockstar employees! Responsibilities:
Filing:
· Ensure that all correspondence, documents, pleadings, and discovery are scanned in, named, and uploaded into One Drive quickly and accurately.
· Assist when needed with filing documents into the physical file.
· Ensure that archived cases are organized in off-site storage.
Setting up and closing of files:
· Set up new cases electronically and physically in a timely matter.
· Move closed files to the appropriate place both electronically and physically.
Receptionist:
· Receive incoming phone calls in a professional manner by providing information or transferring to the appropriate personnel. (Must be able to accommodate multiple calls at a time)
· Greet visitors to the firm.
· Stamp and address all outgoing mail in a timely matter.
· Receive all incoming mail and documents that have been dropped off and distribute to the appropriate legal assistant.
· Set up conference rooms for depositions, mediations, and meetings.
· Manage office supplies and maintain inventory.
· Draft enclosure letters when needed.
· Accept and process client payments.
· Assist with scheduling appointments.
· Charge clients accounts for expenses each month
· Assist with other misc admin duties as needed.
Runner:
· Timely daily filing of court documents at the courthouse and county clerk office and return of same.
· Ensure that stamped documents are uploaded in the correct electronic file and are mailed appropriately.
· Pickup and delivery of paperwork and documents locally.
· Other misc. errands as necessary.
Requirements:
- Computer literacy with proficiency in Microsoft Office Suite
- Excellent typing skills with the ability to accurately enter data
- Previous experience in a customer support or receptionist role is preferred
- Strong organizational skills with the ability to multitask and prioritize tasks effectively
- Professional phone etiquette with exceptional verbal and written communication skills
We need an organized, self-starter person that can work at a fast pace and who will take ownership of their role with confidence to do what needs to be done for us all to succeed. Having previous office experience is required for this role. The right person must be able to pass a background check and have a valid driver’s license.
