General Job Description:
As the Front Desk Reception Admin Assistant, you will represent Florida Express Waste and Recycling when assisting customers in person and on the phone. You will handle a multitude of tasks to make sure the office runs successfully. This position supports the Customer Service Representative team and company managers by executing various essential daily tasks for the organization. They are responsible for handling proprietary and time-sensitive materials.
Front Desk Reception Responsibilities:
- Keep a safe, clean, and welcoming reception area and stock supplies for the office.
- Greet visitors in a friendly manner, direct them appropriately, and notify company personnel of visitor arrival.
- Maintain security by following company policies, rules, and regulations for all visitor/vendor procedures and by monitoring the logbook daily.
- Respond efficiently and accurately to a high volume of callers, explaining possible solutions and ensuring clients feel supported and valued.
- Assist onsite applicants with the application process and provide additional support as needed.
- Identify customers’ needs, clarify information, research, and provide solutions.
- Demonstrate competence in company processes and procedures for products and services in order to provide accurate and helpful information to callers.
- Respond to internal and external inquiries via email, phone, and face-to-face in a timely manner.
- Support office teams with administrative tasks such as photocopying, filing, emailing, printing, scanning documents, paperwork, reports, and mail processing in a timely, complete, and accurate manner.
- Utilize software, databases, caller scripts, and office tools appropriately.
- Prepare and input data into client management systems.
- Update and maintain client databases with up-to-date information.
- Establish new services, process payments, respond to account inquiries, schedule services, recommend sales upsells, and resolve customer complaints. Provide customer inquiries with pricing and knowledge of the services we offer.
- Assist with Dispatch/Operations and support other departments as needed.
- This position has additional duties; special projects may be assigned.
- Excellent phone etiquette, verbal, written, and interpersonal skills.
- Experience using database management systems.
- Experience using MS Office software-Word, Excel, Outlook.
- Customer focus and adaptability to different personality types.
- Cultivate rapport with customers (maintain a warm, approachable manner).
- Solution-driven with proficiency in problem-solving.
- Excellent organizational skills and attention to detail.
- Handle sensitive information with confidentiality and discretion.
- Patience in dealing with demanding callers & guests.
- Dependability: be ready to work every day on time with a positive attitude.
- Visibility requires maintaining a professional appearance and providing a positive company image to the public.
- Excellent Data Entry skills
- Demonstrate a sense of urgency in resolving daily assignments.
- Ability to multi-task, set priorities, and manage time effectively.
- Ability to demonstrate professionalism throughout all daily interactions, identify the issue, present a solution, confirm that the issue has been resolved, or escalate unresolved issues to the supervisor.
- Experience working in an inbound call center or customer-support role.
- Experience with the waste industry is a plus.
