Pediatric Orthotic Specialists is a custom orthotic provider in Grand Rapids that specializes in children with lower extremity needs. Currently we are hiring for a Receptionist/Office Assistant. Each of our patients is an individual with a unique set of needs, and empathy towards this situation is of utmost importance to the success of the service we provide.
Someone who likes to work with a team, exhibits excellent customer service skills, enjoys a fast-paced environment, and can prioritize multiple responsibilities would be successful here.
Essential responsibilities:
- Answers phone calls and emails, distributes messages as required. Maintains voice mail and responds to them appropriately.
- Establishes and maintains patient and family relationships. Creates new charts, communicates with medical referring professionals and/or patients to clarify any pertinent insurance information. Completes Medical Records requests as required.
- Manages patient appointments according to the orthotist's schedule. Schedules and confirms patient appointments, flags file for any outstanding information, prepares patient charts with fabrication and delivery sheets, care instructions and patient survey as needed.
- Creates Work order packets according to orthotic design determined using appropriate medical coding. Creates and maintains templates for orthoses according to company standards.
- Manages patient follow up process according to orthotist clinical notes. Documents any patient changes, questions or concerns.
- Documents and updates all patient information prior to receiving orthotics and after any follow-up calls or contact according to company standards.
- Prepares office for daily activities. Maintains daily care of front office, waiting room and outside walkway. Maintains office supplies.
