- Complete control of all incoming calls plus confirmation calls.
- Scheduling – New Patients and Re-Visits by filling open slots in schedule to ensure patients are meeting prescribed frequencies by cluster booking.
- Review Lost Patient log: 1. Make phone calls for reactivations and put in schedule book. 2. Attempt 2 phone calls for each reactivation – if unable to reach give to primary PT to reach; if still unable to reach, chart to therapist to complete discontinuation of care form.
- Resolve patient schedule conflicts by working with the therapists.
- Maintain patient waiting list to utilize openings in schedule via Everseat.
- Maintain supply and organization of paperwork.
- Maintain the % of Prescribe tracking sheet so that all Patients are meeting their Frequency/Plan of Care as prescribed by their Therapist
- Complete Marketing Tracking Sheet daily
- Maintenance of patient charts in WebPT and Intake Q.
- Collection of monies due by patients’ daily and have it accurately recorded on the CoPay Log
- Faxing of all documentation to physicians such as Plan of Care (POC) and Re-Evals.
- Phone or written communications to physicians to assist patients and therapists.
- Complete daily stat grids and 5/6 day forecast so that weekly targets are set.
- Filing/Scanning of all incoming documentation into patient’s charts in WebPT
- Call therapists whose schedules have changed from the normal times and inform them of the changes and the time of their 1st patient appt.
- Assist Office Manager in putting new patient demographic data in the computer.
- Performs all patient registration and Insurance verification duties and logs them into the EMR system
