Responsibilities:
- Serve as main point of contact for visitors/clients and greet in a pleasant and professional manner.
- Service incoming telephone calls and sort incoming/outgoing mail.
- Monitor coffee and open market supply and communicate with vendor as needed.
- Monitor and order office supplies.
- Administer supply/tools/general purchasing process for selected departments within facility.
- Coordinate food orders for internal meetings.
- Book and set up conference rooms for training events; including preparing handouts and other materials provided by the trainer.
- Assist with user maintenance, uploading training records, and assist with reporting within the learning management system.
- Help coordinate large internal and offsite meetings.
- Support team with ad-hoc administrative requests.
- Maintain a well-organized work environment.
- Assist with timecard processing/reconciliation in absence of other Administrative Assistant.
- Other miscellaneous Front Desk duties as assigned.
Position Requirements:
- A high school diploma or GED equivalent.
- At least two (2) years of experience in an administrative role.
- Team-player with a positive attitude.
- Good communication skills.
- Must possess strong attention to detail and solid people skills.
- The ideal candidate should have a clear understanding of the importance of confidentiality. They should recognize the need to safeguard sensitive data and maintain its integrity.
- Must be punctual and dependable.
- Working knowledge of Windows-based software (Word, Excel, Outlook, PowerPoint).
Preferred Qualifications:
- Previous administrative experience in the manufacturing, field installation, automation, and/or construction field.
- Competency in Oracle.
