The File Clerk/Receptionist is responsible for answering incoming calls, opening mail, incoming faxes, organizing, filing, copying, scanning office records for all departments. Organizes and maintains general copy room areas, conference rooms, supplies, and office courier service management.
Essential Duties and Responsibilities
The essential functions include, but are not limited to the following:
- Opening, sorting, and scanning incoming correspondence or medical records in document management system before distributing it to attorney/legal assistant
- Picking up, scanning, and distributing of firm faxes daily
- Picking up and dropping off packages or correspondence to the USPS office and other offices
- Managing information from file data, and removing files upon authorization
- Maintaining forms archives
- Maintaining product information publications
- Placing outgoing customer invoices into envelopes
- Performing other work-related duties as assigned
- Answer and direct calls in a polite and friendly manner
- Serves visitors by greeting, welcoming and directing them appropriately
Minimum Qualifications (Knowledge, Skills, and Abilities)
- High school diploma or GED
- Six months related experience and/or training
- Ability to apply a common sense understanding to carry out detailed but uninvolved written or oral instructions
- Ability to deal with problems involving occasional, last-minute changes in generally standardized situation
