General Summary:
Manages and coordinates the day-to-day operations of the Executive Team and the Board of Directors. Provides assistance and support by performing various confidential executive clerical responsibilities for the Executive Team. Represents the executive offices to internal and external constituencies and organizations including various public officials, legislators, representatives from regulatory agencies and other healthcare executives. Duties include the exercise of discretion and independent judgment with respect to matters of significance. Provides support to all Boards and Committees. Must be professional and confidential.
Essential Functions:
- Assists the Executive Team and Board of Directors by performing diversified, responsible and confidential duties as well as executive clerical responsibilities, including other duties as assigned.
- Interacts on a regular basis with the Executive Team, members of the Board of Directors, physicians, hospital employees, volunteers and visitors.
- Maintains a high level of professionalism and confidentiality at all times.
- Completes specific work projects as assigned relative to administrative operations.
- Composes or transcribes correspondences, memos and reports as instructed. Proofreads a variety of materials including correspondence, memos, minutes of meetings, and completes special assignments, etc.
- Prepares for meetings, notifies participants, prepares agendas, orders food, organizes room set up, takes and transcribes minutes of special committee meetings, regular meetings, and other meetings, including Board meetings.
- Coordinates schedules for the Executive Team. Arranges meetings, appointments, make travel arrangements, order tickets, handles purchase orders, etc.
- Answers telephones, prioritizes, screens and redirects phone calls and directs complaints to proper channels. Answers questions, handles routine matters on own initiative and takes messages.
- Responds to calls and visits from employees, other visitors including the public at large; determines urgency of the situation. Suggests appropriate referrals.
- Orders office supplies and prepares payroll as assigned.
Education
Required- Associates or better in Business Administration
