Executive Administrative Assistant
Job description
Be part of a growth-oriented, established advisory practice within the firm. We are seeking a client focused individual to join our new team as the Executive Administrative Assistant. You will communicate with clients, schedule meetings, and support the Financial Advisor and team. 2+ years of experience in administrative support or customer service required (preferably in the Financial Service or Insurance Industry).This position is located in Lombard.

RESPONSIBILITIES:
Team support
- Contact clients via telephone to schedule appointments
- Maintain the Financial Advisor's calendar
- Answer and direct telephone calls as appropriate
- Input data and gather information in preparation for meetings
- Follow up with clients to confirm receipt of forms
- Send client birthday cards and schedule birthday/age change appointments
- Handle case notes, process incoming correspondence and maintain client files
- File new statements, account forms and other insurance/investment-related materials
- Assist in the planning and implementation of marketing events
Client services
- Complete and submit new insurance applications
- Arrange medical, paramedical and any exams necessary for underwriting
- Expedite the underwriting process through communication with underwriters, obtaining any outstanding requirements and answering questions
- Maintain open communication with clients throughout the application process
- Process incoming service requests from clients (beneficiary updates, loan requests and billing inquiries)
- Contact clients regarding late payments
- Maintain and update current client information
QUALIFICATIONS:
- 2+ years of experience in administrative support or customer service (preferably in the Financial Service or Insurance Industry)
- Excellent phone skills - the ability to call 30+ clients daily to schedule meetings
- Excellent written communication skills
- Organizational and time management skills and ability to multitask
- Experience in administrative support or customer service, preferably in the financial services and/or insurance industry
- Familiarity with CRM, Microsoft applications, data entry and information retrieval software
- Health and Life licensed (or gain licensing within 3 months of employment)
- Strong attention to detail with the ability to work with a high degree of accuracy
- Ability to proactively identify what needs to be accomplished and take action as appropriate
- Ability to embrace change and work in a fast-paced environment
- Ability to work both independently and in a team
- Ability to maintain confidentiality
- Financial Service or Insurance industry experience preferred
Job Type: Full-time
Pay: $50,000.00 - $60,000.00 per year
