As a Commercial Executive Assistant, you’ll play a pivotal role in ensuring the smooth operation of the sales, customer success and marketing departments. Your responsibilities will encompass administrative tasks, strategic coordination, and facilitating effective communication.
POSITION QUALIFICATIONS/REQUIREMENTS
- 5+ years’ work experience supporting senior executives in a sales environment
- 5+ years executive calendaring
- 2+ years experience utilizing Salesforce (pulling reporting, inputs)
- Proficiency with Word, Excel, PowerPoint, Outlook
- Project management and sales research software skills are a plus
- Excellent written and verbal communication skills
- Ability and willingness to periodically address urgent business needs after standard hours
- Infectious positive attitude and focused customer service
- Proven demonstration of the ability to maintain confidential information and impeccable judgement on what to share, when and with whom
- Excellent organizational skills with an ability to think proactively, anticipate needs, and prioritize work
- Adaptability – maintain effectiveness when experiencing major changes in tactical or strategic direction
- Technology enthusiast demonstrated through work experience, hobbies, and/or education
- Agile Mindset – the ability to work in an iterative manner that allows for rapid prototyping, effective feedback loops, and the ability to meet aggressive timelines
CORE FUNCTIONS OF THE POSITION / CRITICAL ELEMENTS
- Executive Support (60%)
- Manage and maintain assigned executive’s calendar which includes scheduling meetings, and managing conflicts
- Effective calendar point of contact for VP of Sales & Customer Experience
- Coordinate executive communication as assigned, including follow up calls, and responding to emails
- Prepare and proofread documents, presentations and reports.
- Support meetings/teams on regular basis. Can include taking notes, preparing minutes, and action item follow-up
- Assist in marketing and sales research
- Sales Support/Cross Functional Collaboration (40%)
- Assist Business Development Manager’s with administrative tasks, such as expense reporting, order processing, and customer inquiries.
- Act as a Subject Matter Expert for the sales customer relationship management system (Salesforce), RFP tracking administration. Ensuring very clear timelines are met
- Collaborating with Manager of CSM's on editing of documents, presentations
- Liaise with other departments to ensure timelines of all projects are being met and ensure optimal strategy of the Sales, Customer Success and Marketing teams
- Arrange meetings, review contracts, and prepare facilities for on-site and off-site events
Job Type: Full-time
Pay: $65,000.00 - $85,000.00 per year
