The Executive Assistant plays a significant role in supporting the Chief Commercial Officer (CCO) and the Sales and Marketing Leadership Team (SMLT). The Assistant is trustworthy and excels at being mindful of details in a fast-paced, and ever-changing environment that requires critical thinking ability, creative problem solving, cross-functional engagement, and a positive outlook and professional demeanor. The ideal candidate must be fair-minded and service-oriented with excellent interpersonal and communication skills.
Responsibilities
• Seamless management of calendars and schedules for CCO and other SMLT department leads, as needed. Includes proactive support and ability to manage priorities when scheduling conflicts arise
• Plans and coordinates internal and external meetings, which includes preparation of agendas, pre-read materials, meeting set up, management of technology during meeting, takes minutes, keeping team informed
• Prepares CCO by providing relevant pre-reads, reports and any other relevant items in advance and in preparation for meetings
• Arranges and coordinates travel for CCO and other department leads, as needed
• Prepares and produces letters, memos, presentations and reports, as necessary
• Supports attentiveness towards Customers and other external stakeholders
• Ability to process confidential and critical information on a routine basis with discretion and integrity
• Manage team deliverable's (deadline for goal setting, reviews, survey etc.) for the S&M community
• Proactive engagement with team members to keep a pulse on moral and stress points
• Ensure team recognition for important events like Birthday, Anniversary etc. and validates information is accurate
• Oversees the development, recognition and communication towards the Sales and Marketing community
• Partners with Finance and supports the management of all Sales & Marketing related cost centers
• Tracks invoices for signature, processing, and reconciliation of credit cards
• Coordinates activities with other administrative assistants and appropriate personnel
• Performs other duties as assigned by supervisor
Candidate Profile
• Experience in working with senior level executives within and outside the organization, as well as experience with engaging customers, vendors and visitors
• Professional demeanor, personally adaptable and able to exhibit strong organizational, communication skills, (verbal, written, phone etiquette)
• Organized with a high degree of attention to detail
• Problem solver, highly observant with the ability to anticipate needs before they arise
• Experience in juggling several tasks at once while maintaining poise and positivity

Compensation & Benefits:

The actual compensation offered to the successful candidate is dependent upon experience, skills, education, work location, internal pay equity, and other objective job-related factors.
Salary Range estimated for the Executive Assistant, Chief Commercial Officer: $69,500 to $89,100 USD.
