What You'll Do:
- Calendar and Meeting Management: coordinate internal and external meetings, including staff, vendor, and customer meetings and briefings. Coordination will include in-person, virtual (Zoom), off-site meetings and events, and one-on-one meetings. You will also assist with food orders, meeting needs, agenda support, note-taking, and other logistic-related activities
- Maintain Senior Staff member calendar, Including but not limited to:
- Proactive calendaring requests and conflicts;
- Collaboration with other EAs and the Executive Community;
- Ensure Meetings have agendas, rooms, and attendees; and
- External meetings with board members, partners, vendors & customers
- Internal and external events
- Maintain Senior Staff member calendar, Including but not limited to:
- Travel. Handle all travel arrangements (e.g., flight, hotel, transportation, etc.) for both domestic and international travel
- Expense management. You will be responsible for uploading receipts and completing expense reports in a timely manner. (Familiarity with Navan or other similar expense-tracking software is appreciated.)
- Policy and Compliance Champion. Ability to point employees to internal resources in support of Fastly's internal policies and compliance programs
- Facilitate Senior Staff Departments. This includes, but is not limited to:
- Plan, schedule, and coordinate leadership and department-wide meetings, activities
- Assist with executive and employee communications
- Help onboard new employees joining the department
- Maintain Slack channels for department and department leadership
- Play an active role in department leadership by attending/facilitating meetings, track all agendas and action items
- Plan and execute on department offsites of various sizes (5 to 100+ people), within a geographically distributed team
- Manage PTO/Leave calendar for the department
- Maintain Google Groups for the department and contacts
- Plan, schedule, and coordinate leadership and department-wide meetings, activities
- Take on other tasks as appropriate
- You may be asked to take on other tasks or assignments, such as drafting communications, planning events, basic analysis, etc.
What We're Looking For:
- 5+ years experience supporting SVP's or above within a Product or Engineering organization strongly preferred
- You are proactive, one step ahead in your work ethic, attitude, and approach
- Fantastic attention to detail
- Experience working in partnership with Internal and External Event teams, IT and Workplaces
- Juggle multiple calendars, teams, and requests
- Enjoy multitasking
- Be flexible when responding to changing priorities and needs
- Drive schedules and agendas with a deeper understanding of context. You are an active member of the team and want your contributions!
- Be a team player with strong interpersonal skills and offer suggestions and improvements
- Have superior written and spoken communication skills with the ability to work across all levels, internally and with external agencies
- Have a high-level of confidentiality, discernment and judgment
- Familiarity with Navan or other similar expense-tracking software is a plus
Work Hours:
This position will require you to work during scheduled hours from approximately 9am-5pm PT. Due to the nature of the role, flexibility in hours will be necessary.
Work Location & Travel Requirements:
This position is open to the following office location:
San Francisco, CA - you will need to be in our SF office approximately 4 days/week.
This position may require travel as required by your role or requested by your manager.
Salary:
The estimated salary range for this position is $50.84 to $62.50 per hour. Starting salary may vary based on permissible, non-discriminatory factors such as experience, skills, qualifications, and location.
This role may be eligible to participate in Fastly's equity and discretionary bonus programs.
