The Executive Assistant position resides in the Office of the CEO at SCTE in Exton, PA. This department supports the SCTE CEO in all areas related to SCTE certification, membership, chapter standards and education. Our team plays a crucial role in all focused on providing a beneficial and positive training and learning experience for our members and vendors.


Why This Role Is Exciting


The position requires providing high-level administrative assistance to the CEO Reporting directly to the CEO, the Executive Assistant provides support in a one-on-one working relationship. The Executive Assistant also serves as a liaison to the board of directors and senior management teams; organizes and coordinates executive outreach and external relations efforts; and oversees special projects. You will have the opportunity to engage with people at the executive level within a great organization.

  • We are looking for a dynamic individual with great organizational skills to navigate a demanding schedule for the CEO, work with the Board of Directors, and manage sensitive matters with a high level of confidentiality and discretion especially decisions directly impacting the operations of the organization.


What You’ll Do

  • Direct responsibilities in the most efficient way possible to complete the goal or task.
  • Manage logistics and communications associated with board meetings with external and internal stakeholders.
  • Manage day-to-day operations for the office, including visitors, deliveries, and events and/or meetings taking place at the office.
  • Provide extensive calendar support with high-volume of competing requests from internal and external stakeholders requiring prioritization.
  • Coordinate, schedule and manage travel and other logistics for the CEO with processing of detailed expense reports.
  • If requested, manage CEO email inbox and independently draft communications on behalf of CEO while also reviewing and editing documents for grammar, style, and formatting.
  • Prepare Word, Excel, PowerPoint presentations, agendas, reports, special projects, and other documents in support of objectives.
  • Review and approve expense reports for direct reports to the CEO and extended C-suite team (where applicable), validating necessary receipts are included and charges posted correctly.
  • Screen calls; take and deliver accurate messages; respond to requests by gathering and providing information and referring non-routine calls to the appropriate staff.
  • Manage the Executive's contacts.
  • Be responsive to emails/texts/phone calls, with contact outside normal business hours.
  • Welcome the Executive’s guests by greeting them, in person or on the phone, answering or directing inquiries.
  • Attend executive team and general staff meetings, keeping records of minutes.
  • Maintain a comprehensive filing system for all correspondence, information/reference data and publications, board meetings, and other materials.
  • Create an atmosphere of trust and collaboration with the Executive Assistants to the board of directors and other executive committees for the organization.
  • Perform other duties as assigned.

What Is a Must Have

  • Previous proven and successful leadership responsibilities
  • Bachelor's degree preferred. Equivalent work experience will be considered.
  • 5+ years of related experience required in working in an Executive Assistant role supporting C-Level executives. Equivalent work experience will be considered.
  • Advanced Proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint) and willingness to learn other platforms as needed.
  • Ability to communicate effectively and professionally.
  • Commitment to excellence - perform duties at the highest level possible on a consistent basis.
  • Flexible hours as dictated by the needs of business for projects and meetings.
  • Business sense - has a strong business sense and can decipher priorities and make sound judgment calls when needed.
  • Excellent communicator - able to interact with people of all levels in a confident, professional manner. Strong written and verbal communication skills.
  • Demonstrate ability and temperament to work with sensitive and confidential information.
  • Team player - have team-oriented experience and approach.
  • Service focus - dedicated to meeting the expectations of the CEO and other senior executives by maintaining effective relationships with interested parties.
  • Ability to think outside of the box with a sense of urgency.
  • Ability to exercise good judgment in diverse situations.

  • Provide and lead support to both internal and external parties with a high level of professionalism and in a manner that reflects positively on the organization.

Compensation: The salary range is $78,425 - $95,775. This position is eligible for bonus incentive compensation up to 15% of base salary.
