About the role
This position will be located on-site in Cambridge, MA and will not have the ability to be located remotely.
About the role:
NBR's Translational Medicine (TM) team is seeking an executive administrative support to the Global Head of Translational Medicine. In this key role you will ensure the smooth day-to-day operations of the Global Head of TM's office and contribute to the overall efficiency of the leader and the TM organization.
Your key responsibilities:
• Independently deliver administrative services for Global Head of TM and leadership team.
• Extensive calendar management, proactively prioritizing meetings and complex international and domestic business travel.
• Schedule and coordinate Leadership Team meetings and ensure all pre-reads are available. Participate in meetings to insure global meeting rooms are connected and manage meeting facilitation (project slides, etc..)
• Review draft agendas for all Biomedical Research (BR)/Novartis Board meetings and schedule any pre meetings in advance of board meetings.
• Work closely with TM Communications team on Global TM Communications/announcements.
• Schedule and help manage monthly TM extended Leadership Team (TM eLT) calls, manage TM eLT Teams space, adding members when needed.
• Manage and oversee the TM Promotions process and maintain SharePoint site, working closely with the lead admins, sharing deadlines, ensuring all documents are submitted, scheduling discussion meetings.
• Coordinate onsite and offsite meetings in partnership with TM Site Operations Lead
• Mentor and act as lead for the TM Global Admin Team with regular meetings to share information and maintain TM Admin SharePoint site.
• Active member of the BR-LT (Biomedical Research LT) Admin community, sharing knowledge and support, participating in regular meetings.
• Handle confidential and sensitive information and communication with all levels of management in a professional discrete manner.
Novartis Compensation and Benefit Summary: The pay range for this position at commencement of employment is expected to be between $69,300 - $103,900/year; however, while salary ranges are effective from 1/1/23 through 12/31/23, fluctuations in the job market may necessitate adjustments to pay ranges during this period. Further, final pay determinations will depend on various factors, including, but not limited to geographical location, experience level, knowledge, skills, and abilities. The total compensation package for this position may also include other elements, including a sign-on bonus, restricted stock units, and discretionary awards in addition to a full range of medical, financial, and/or other benefits (including 401(k) eligibility and various paid time off benefits, such as vacation, sick time, and parental leave), dependent on the position offered. Details of participation in these benefit plans will be provided if an employee receives an offer of employment. If hired, employee will be in an "at-will position" and the Company reserves the right to modify base salary (as well as any other discretionary payment or compensation program) at any time, including for reasons related to individual performance, Company or individual department/team performance, and market factors.
Role Requirements
Essential Requirements:
• High school diploma required. Associates or Bachelor's degree preferred or equivalent relevant experience.
• 5+ years of highly successful work as an administrative professional supporting executive level management.
• Proven work experience in administration with profound knowledge of office software, specifically the Microsoft Suite
• Business-level/fluent spoken and excellent writing skills in English; additional languages appreciated.
• Proven track record of excellent service-oriented interpersonal skills, used to successfully develop effective, collaborative relationships across a diverse international organization. You consider the impact of what you write and say and how your language affects others. You enjoy and work successfully with others that have different nationalities, languages, thinking styles and approaches to work.
• Demonstrated experience handling confidential and sensitive information.
• Pro-active, results-driven self-starter; good planning, prioritization, problem solving and organizational skills; thoughtful and cooperative team colleague, flexible and adaptive to change; resilient and enthusiastic, responding constructively to different ideas and input.
• Independent working style, well organized and committed with a strong sense of responsibility.
