Position Overview: As the Executive Administrative Assistant to the CEO you will play a pivotal role in providing administrative support and ensuring a smooth and efficient process for executive-level activities. You will be responsible for managing the CEO's schedule, coordinating meetings, handling correspondence, and providing administrative support to the Board of Directors. The ideal candidate will be a detail-oriented, professional individual with exceptional organizational skills and the ability to thrive in a fast-paced environment.
Key Responsibilities:
- Manage the CEO's calendar, schedule appointments, and coordinate meetings and conference calls.
- Prepare and distribute meeting agendas, presentations, and other materials for executive and board meetings.
- Act as the primary point of contact for internal and external stakeholders, including board members, investors, and senior executives.
- Handle confidential information with discretion and professionalism.
- Prepare and process expense reports, invoices, and other financial documents.
- Assist with special projects and initiatives as assigned by the CEO and Board of Directors.
- Coordinate logistics of domestic and international travel arrangements.
- Maintain organized electronic and physical filing systems.
- Support other duties as assigned.
Qualifications:
- Bachelor's degree in business administration, communications, or related field preferred.
- Proven experience as an Executive Assistant or administrative assistant supporting C-level executives.
- Strong organizational skills and the ability to multitask and prioritize tasks effectively.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite and other relevant software applications.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Detail-oriented with a high level of accuracy and professionalism.
- Ability to work independently with minimal supervision and collaborate effectively with team members.
- Flexibility and adaptability to changing priorities and deadlines.
- Experience using board software preferred.
