This is not your average assistant role. We need a strategic partner, a problem-solver extraordinaire, and a master of efficiency. Someone who can anticipate our needs, prepare us for the day ahead, and handle the mundane with finesse, freeing us up to focus on what truly matters.

You'll be the right-hand person to our CEO, their confidante and secret weapon, playing a pivotal role in making their life easier and their work more impactful.

Here's what you'll be doing:

  • Process Pro: Create and implement organizational systems using your favorite tools (Excel, Asana, Trello), keeping track of ongoing tasks, deadlines, and information flow.
  • Tame the inbox beast, manage meetings with military precision, and follow through on tasks arising from email and meetings.
  • Create & maintain complex spreadsheets, generating custom reports and analyzing data.
  • Making our CEO’s life easier is your top priority. That means managing their meetings, calendar, emails, and travel arrangements with efficiency and grace. But it also means anticipating needs, suggesting solutions, and taking initiative.
  • Proactively research, gather information, and prepare materials before they're even requested. Become an expert on our leader's priorities and preferences.
  • Be the ultimate problem-solver: Identify roadblocks, research solutions, and present options with clarity and confidence.
  • Identify tasks that can be streamlined or outsourced, and free up our leader's time for the most important things.
  • Supporting Key Areas: Lend a hand with HR, bookkeeping, and legal tasks, providing administrative support and lightening the load.
  • Conduct legal & market research and draft correspondence as needed.
  • Review and analyze legal documents, identifying potential issues and recommending solutions.
  • Maintain detailed records and files, tracking deadlines and ensuring all requirements are met.

The ideal you/You’re a great fit if you:

  • Minimum 2 years of experience as Executive Assistant or similar capacity.
  • Strong proficiency in project management tools like Asana or Trello and Microsoft Excel, including creating formulas, macros, and pivot tables.
  • A tech-savvy process whiz: Proficient in various tools from spreadsheets, project management platforms, communication apps, etc. You'll help you leverage technology to streamline processes and boost productivity.
  • Exceptional organizational and time management skills, with a willingness to learn.
  • You value direct communication and honesty and not only prefer but appreciate a straight shooter. You communicate clearly, concisely, and professionally.
  • Outstanding interpersonal skills, with the ability to build rapport with clients and colleagues.
  • Ability to work independently as a self-starter who takes initiative and prioritizes well.
  • Maintain a positive, professional, can-do attitude, bringing a constructive outlook and infectious energy, making even the most demanding tasks feel manageable.
  • A resourceful problem solver with a proactive approach and a "get it done" mentality.
  • You're a discreet confidante, comfortable handling sensitive information.
  • You love dogs! Our golden retriever is a valued member of the team so prepare for occasional furry interruptions (and cuddles!).

It’s a huge perk if you:

  • Understand the Real Estate Development and construction industry, closing procedures and documentation.
  • Possess excellent research and analytical skills, with experience in legal administration, HR, and bookkeeping.
