Job Description
We are seeking an Executive Assistant to work with the Vice President and division of Finance and Administration. This is a 1 to 2 month assignment and work hours are Monday through Friday from 8 a.m. to 5 p.m.
- Prioritize, coordinate, and implement daily activities and requests to enable the Vice President to meet all needs and commitments
- Serve as part of the Vice President’s leadership team to coordinate projects and tasks and lead and/or coordinate projects and analyses
- Maintain the Vice President’s schedule, support, and prepare for meetings, and maintain the division’s calendar
- Assist with the management of the Vice President’s office budget and monitor of the divisional budget
- Manage administrative tasks including filing, phone coverage, procurement, mail, building maintenance, and equipment support for the Vice President’s office
- Develop and maintain professional development program, coordinate, and develop training on Finance & Administration policies and procedures, manage interdepartmental communications, project plans, and assist with maintenance of the Division’s website
- Create routine reports to summarize progress on key initiatives, coordinate material development, prepare, and manage presentations, and ensure timely submission of agendas and board materials for trustee meetings and other College governance committees
- Support board committees through preparation of meeting minutes and facilitates appropriate follow-up to trustee requests
- Coordinate monthly, quarterly, and other periodic division meetings and activities
- Develop and maintain division orientation program and on-boarding process and assist with the annual financial and 403(b) auditing processes
- Manage office correspondence, policy review, internal audit, departmental review responses, and other internal administrative business
- Provide assistance with position searches, special projects, and presentations, conduct inquiries, and troubleshoot issues and concerns for the Vice President as needed
Qualifications:
- Bachelor's Degree required; Business field preferred
- Must have at least 5 years experience as an Executive Assistant for a senior level executive or prior experience in an executive level or responsible administrative/management position; Prior experience in business-related office and higher education preferred
- Must have extensive experience with Microsoft Office software and calendaring systems; Creative use of technology to organize projects strongly preferred
- Must have excellent interpersonal, customer service, and communication skills
- General math, accounting, and basic analytics to support financial and budget-related projects and tasks is needed
- Must have the ability to establish and maintain effective working relationships, exercise a high degree of initiative, independent judgment, and sound judgment
- Must possess excellent attention to detail, be a team player, prioritize, and take pride in and be thorough in quality of work produced
- Must possess a high level of discretion and confidentiality
