The Executive Assistant will play a pivotal role in supporting the executive team and ensuring the efficient functioning and activities of the office. This dynamic position requires a self-motivated individual with a keen eye for detail, exceptional organizational skills, and the ability to handle a diverse range of responsibilities. The successful individual will serve as a central point of contact for executives, coordinate office activities, and contribute to the overall effectiveness and productivity of the organization.
REQUIRED KNOWLEDGE, SKILLS, & TRAINING:
- High School diploma required, bachelor’s degree in business administration or related field preferred.
- At least four years of related administrative and clerical experience required.
- Proven experience as an Executive Assistant or office manager.
- Strong organizational and time-management skills with a proven ability to meet deadlines.
- Excellent written and verbal communication abilities.
- Proficient in Microsoft Office Suite and other relevant software.
- Ability to handle sensitive information with discretion.
- Detail-oriented and capable of multitasking in a fast-paced environment.
- Experience in project management.
- Extensive knowledge of office management procedures.
- Knowledge of basic accounting principles.
- Provide comprehensive high-level administrative support and assistance to the executive team, including calendar management, travel arrangements, and meeting coordination as needed.
- Draft and edit correspondence, reports, and presentations for executive review.
- Conduct research and compile information as needed for executive decision-making.
- Act as a liaison between executives and internal/external stakeholders, ensuring effective communication.
- Provide high-level administrative support and assistance including monthly licensure and compliance checks, prepare new employee onboarding materials, and assist with preemployment activities and screenings.
- Performs other related duties as assigned.
- Manage front desk operations including but not limited to greeting visitors in a professional and friendly manner, answer/direct incoming calls and incoming and outgoing mail, packages, and deliveries.
- Oversee and optimize office operations to ensure a smooth and efficient work environment.
- Manage office supplies, equipment, and vendor relationships to ensure cost-effectiveness.
- Maintain a welcoming, secure, and organized office space, addressing any facility-related issues promptly.
- Organize and maintain confidential files and documents.
- Assist in the preparation and distribution of reports, presentations, and other materials.
- Receives incoming communication or memos on behalf of senior staff, reviews contents, determines importance, and summarizes and/or distributes contents to appropriate staff.
- Collaborate with team members to support cross-functional projects and initiatives.
- Act as a resource for office-related inquiries and provide assistance as needed.
- Assists with coordination of onsite meetings including ordering meals, transportation, events, etc. as needed.
