Join our dynamic team as an Executive Assistant and Administrative Support Specialist within the Impact Department, where you will play a pivotal role in fostering organizational success. As an integral member of our team, you will be responsible for executing a diverse range of administrative tasks, supporting both the VP, Impact and VP, Strategic Partnerships. Your contributions will extend beyond traditional administrative functions to include scheduling and coordinating meetings, providing invaluable assistance to volunteer committees, and performing crucial data entry, maintenance, and reporting tasks.
In addition to these core responsibilities, you will actively contribute to our inclusive and collaborative workplace culture by managing organization-wide office and administrative duties. This involves handling facilities requests, assisting with fielding calls to our main phone line, and providing on-site support during events. As a versatile team player, you will cover for and collaborate with other administrative professionals, ensuring seamless communication and workflow.

Status: Hourly, Non-Exempt, Full-time (37.5 hrs. per week)
Pay range: $25 - $28 / hour
Responsibilities
Position Description Executive Assistant, Impact
Execute on a broad range of administrative support tasks for the Impact Department’s initiatives and team members including but not limited to:
  • Executive support for VP, Impact and VP, Strategic Partnerships including schedule management, meeting preparation and acting on behalf of the executive.
  • Scheduling and coordination of meetings
  • Provide administrative support for volunteer committees
  • Perform data entry, maintenance and reporting
  • Org wide office and admin related responsibilities such as managing facilities requests, answering the main phone line, staffing at events
  • Cover for and liaise with other administrative professionals to handle requests and queries
Work Experience and/or Education
5 or more years of professional or volunteer work experience in a range of ANY of the following: executive support, administrative assistance, or office management.
Skills
  • Excellent interpersonal skills
  • Demonstrated professionalism in conduct and communication
  • Familiar with general office equipment
  • Comfortable with new business systems, databases, and technology
  • Knowledge of business English correspondence, correct punctuation, and grammatical usage
  • Proficient in the latest Microsoft Office Environment (Word, Excel, PowerPoint, Outlook, Teams)
  • Understanding of and commitment to the mission, vision, and goals of United Way

Benefits Package
In addition to the base pay and annual merit increases this position is eligible for our org-wide performance based annual bonus package which is typically 1%-3% of base pay. The benefits package includes subsidized medical, dental and vision insurance, fully paid life and ltd insurance, a 401k retirement plan with employer contributions and a generous paid leave policy.
Work Location
This position is based in person in our office in Allentown, PA for at least 70% of the schedule.
Requirements
Authorized to work in the US without sponsorship now and in future
Minimum 5 years of professional or volunteer work experience in a range of ANY of the following: executive support, administrative assistance, or office management

Demonstrated professionalism in conduct and communication
Comfortable with new business systems, databases, and technology
Confirm you can work in-person at our Allentown, PA office

Knowledge in: Microsoft Outlook
