The Executive Assistant provides administrative and project management support to the Senior Vice President of HR, HR leadership, and the HR staff team. This position requires strong organizational skills and excellent people skills. The Executive Assistant coordinates efforts and activities that ease smooth and effective operations of all HR functions.
Responsibilities:
- Performs high-level administrative tasks and duties in support of the Human Resources department.
- Plans, schedules, and maintains the HR team’s calendars and coordinates meeting logistics.
- Produces communication to management, external entities, and internal staff.
- Generates reports and gathers data. Runs and creates reports through ADP and other HR data systems and tools.
- Manages and coordinates Unemployment Compensation, New Employee Orientation, Tuition Assistance, Staff Milestone events, and other special HR-related events.
- Assists with Benefits Administration, HRIS, and Recruiting.
- Coordinates and tracks efforts and activities related to special projects and events.

The Executive Assistant coordinates efforts and activities that facilitate smooth and effective operations of all HR functions.
Responsibilities:
1. Performs high-level administrative tasks and duties in support of the Human Resources department.
2. Plans, schedules, and maintains the Human Resources leadership team’s calendars and coordinates meeting logistics, such as preparing agendas, setting up presentations in advance of meetings, and providing other supplies and resources for meetings.
3. Produces correspondence to Agency management, external entities and internal staff in a high volume environment.
4. Interacts regularly with all levels of the Agency including: Executive staff, HR staff, program staff, and Union representatives.
5. Documents and tracks assignments and projects and follows up on information needed for meetings and events
6. Generates reports and gathers monthly statistical data that extends to the entire scope of the Agency; runs and creates reports through ADP and other HR data systems and tools.
7. Prepares summaries and power point presentations for HR topics as assigned by HR leadership.
8. Independently manages and coordinates Unemployment Compensation, New Employee Orientation, Tuition Assistance Program, Annual Staff Milestone event, and other special HR-related events for the Agency.
9. Provides assistance with Benefits Administration, HRIS, and Recruiting and serves as backup coverage for staff responsible for these areas.
10. Coordinates and tracks efforts and activities related to special projects and events.
11. Responsible for coordinating various HR Department meetings, as well as ad-hoc meetings.
12. Accurately reconciles and codes invoices to be reviewed and approved by HR leadership and then submitted to Finance for processing.
Bachelor’s degree preferred.
Experience with executive/administrative support in a non-profit experience preferred.
Two years’ experience in administrative support and/or office management.
Excellent computer skills (Microsoft Office applications preferred)
Interest with Human Resources Information Systems (HRIS)

The base pay for this position ranges from $47,000 to $58,000 and will vary based on factors such as skills and experience. Base pay is one part of the Total Compensation that JEVS Human Services provides to recognize employees for their work.
