Schedule: Full-time non-exempt, 40 hours/week, Monday- Friday 8:30am-5:00pm
Pay rate: $32.00/hour

Position Description:
We are seeking a highly organized and proactive Executive Assistant to support the CEO with managing their day-to-day tasks and ensuring smooth operations within the organization. The Executive Assistant serves as a key liaison to the board of directors. The ideal candidate will be efficient, detail-oriented, and capable of handling confidential information with discretion. This role requires excellent communication skills and the ability to anticipate needs, prioritize tasks, and solve problems effectively. In addition to supporting the CEO, the Executive Assistant will support the executive leadership team's needs in process management and strategic implementation. The Executive Assistant has extensive interaction with community stakeholders and exudes a demeanor of professionalism and has the ability to cultivate positive relationships.
Essential Duties and Responsibilities: (includes the following; other duties may be assigned)
- Provide support and project management for a range of initiatives in which the CEO plays a lead role.
- Manage the CEO’s calendar and daily workflow, juggling competing priorities as necessary and making appropriate and informed decisions regarding available time.
- Serve as the primary point of contact for internal and external stakeholders, including screening and prioritizing incoming communications, responding to inquiries, and drafting correspondence on behalf of the CEO.
- Build and maintain positive working relationships with internal team members, external partners, clients, and vendors. Represent executives professionally in all interactions.
- Schedule internal and external meetings, coordinating all logistics and details, providing relevant preparation materials, and ensuring appropriate follow-up.
- Screen, direct, respond to, and prioritize calls and correspondence, facilitating the smooth exchange of information as a first point of contact for staff, board members, and external partners.
- Effectively manage social media platforms on behalf of the CEO based on organizational communication needs.
- Coordinate travel arrangements for the executive leadership team, including itineraries, flights and lodging.
- Provide support to the board and several board committees. Schedule and arrange meetings, compile and distribute materials, attend meetings, prepare meeting minutes, and maintain corporate documents.
- Plan and oversee logistical arrangements for board and board committee meetings, including space and facility needs, meals and refreshments, supplies, and technology.
- Compose, edit, design, and format documents.
- Complete expense reports for reimbursement.
Education and/or Experience:
- Bachelor's degree preferred, or equivalent combination of education and experience.
- Proven experience as an Executive Assistant or similar role, supporting C-level executives or senior management.
- Exceptional organizational and time management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
- Excellent verbal and written communication skills, with a keen attention to detail.
- Proficient in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
- Discretion and confidentiality when handling sensitive information.
- Strong interpersonal skills and the ability to work effectively with diverse teams and personalities.
- Flexibility and adaptability to changing priorities and requirements.
- Professional demeanor and a proactive approach to problem-solving.
- Ability to maintain composure and remain calm under pressure.
Certificates, Licenses, Registrations:
- Possess a valid California Driver’s License and current vehicle insurance. Driving records must meet, and continue to meet, the underwriting standards established by the generalized driving guidelines used by our insurance broker. Must provide proof of insurance.
- Must have at least 3 or more years of driving experience.
Other Skills, Abilities, and Job Requirements:
- Ability to pass clearance of the Federal Bureau of Investigation (FBI) and/or Department of Justice (DOJ) background screenings.
- Consumer of mental health services or a family member of a mental health consumer is desirable.
- Work overtime as requested and approved.
