We are seeking an experienced, energetic, and creative Executive Assistant to join our Executive Operations team and provide administrative support to our CEO of Symmetry, Elizabeth Oviedo and Founder of Symmetry, Tom Reahard. The Executive Operations team at Symmetry is the heart of our company's business operations and activities and the glue that keeps our organization moving forward. Executive Operations team members anticipate the needs of their leaders and help them stay focused on vital priorities by resolving operational and administrative issues before they arise. They move quickly within the changing environment and are up to date with the latest Symmetry products and services and have a deep passion for the clients we serve. Executive Operations partners also use this knowledge to strategically support their team's projects. In addition to being organized and analytical, they possess the strong business judgment and communication skills needed to interact with a variety of different people and job functions both inside and outside the organization.

What you'll do day-to-day:

Executive Assistance

  • In close coordination with the executive team provide critical support including management of the CEO's:
    • Meetings: Organize, attend, and track Symmetry leadership meetings by assisting with the agendas, taking notes, and tracking and executing action items.
    • Calendar: Be the mastermind in control of the calendar and prioritize and coordinate time.
    • Communications: Triage inboxes and help prioritize responses, ensuring fast response time to clients, employees, and other key stakeholders
    • Innovation: Establish new—and improve existing—administrative systems and processes.
    • Events: Event planning, including assisting with department celebrations, team off-sites, internal events, meetings, after hours events
    • Presentations: Prepare drafts of executive presentations in coordination with the CEO for various audiences.
    • Liaise: Represent the CEO with external partners on project priorities, action items, timelines, and meeting availability.
    • Culture: Proactively build culture throughout Symmetry by suggesting and coordinating volunteer opportunities, training and development
    • Travel: Coordinate quarterly travel for CEO and other members of the Symmetry leadership team on an as needed basis.
    • Budget and expense management as needed
  • Maintain and facilitate partnerships with other Executive Operations members and teams

Here's what we're looking for:

  • 5+ years of VP-level or above administrative business experience
  • Possess a great deal of common sense, independent initiative, flexibility, and problem-solving skills: Savvy problem solving with the ability to see the big picture and "find a way."
  • Consummate professional: Maintains a high level of tact, diplomacy, and confidentiality.
  • Positive attitude and team player who stays calm under pressure: especially when faced with changing responsibilities and competing priorities.
  • Outstanding organizational skills: Incredibly organized and detail-oriented, able to prioritize multiple assignments.
  • Excellent communication skills: ability to effectively communicate and collaborate with a diverse range of people and job functions. Excellent verbal and written communication skills.
  • Proficiency with Google Suite (Gmail, Calendar, Drive, Docs, Sheets, etc.)
  • Belief that no contribution to the team is too big or too small: we are here to serve our clients and build the best company we can so we all do whatever that takes.
  • Willingness to go the extra mile: Independent thinker who thrives on problem-solving. In overwhelming situations, this person knows how to prioritize, delegate, then proactively follow up.
  • Project Management Experience: Ability to serve as a project lead from conception to completion.
  • Culture Builder: A strong instinct for bringing people together and keeping them connected in a hybrid work world.
  • Professional and emotional maturity: Ability to regulate emotions amidst a shifting landscape of priorities and objectives.

Our cash compensation amount for this role is targeted at $75,000/yr to $93,000/yr in Scottsdale. Final offer amounts are determined by multiple factors including candidate location, experience and expertise and may vary from the amounts listed above.

Symmetry has a physical office space in Scottsdale. Employees who are based in those locations will be expected to work from the office on designated days approximately 2-3 days per week (or more depending on role).

When approved to work from a location other than the office, a secure, reliable, and consistent internet connection is required.
