Executive Administrative Assistant (Contract)
Please note that this is a contract role providing services to Microsoft through external staffing partners of Allegis Global Solutions. If you are selected for this role, you will be employed by AGS and will not be an employee of Microsoft.
Summary:
This role will provide comprehensive administrative support to four senior directors, managing their calendars, handling expense reports, booking travel arrangements, and assisting with event planning. The ideal candidate will have at least 2 years of experience in executive administration and possess excellent communication and organizational skills.
Job Responsibilities:
- Manage the calendars of two senior directors, scheduling meetings and appointments efficiently
- Assist with expense report submissions for the directors, ensuring accuracy and timeliness
- Coordinate travel arrangements for the directors, including booking flights, hotels, and transportation
- Support the planning and execution of team events, including finding suitable locations, arranging catering, and coordinating logistics
- Serve as a point of contact for new hires during onboarding process
- Create and maintain distribution lists for the directors using idWeb
- Take on special projects as assigned based on skill set and availability
Qualifications:
- Bachelor's degree or equivalent experience preferred
- Minimum 2 years of experience as an Executive Administrative Assistant
- Proficiency in calendaring and event planning
- Experience with expense report management using Microsoft tools (MyExpense)
- Strong written communication skills for drafting emails on behalf of high-level managers
- Excellent organizational skills with the ability to multitask effectively
- Proactive problem-solving abilities to anticipate and remove administrative roadblocks
