Job Summary:

The Executive Assistantis a key member in the Executive Office. This position works closely with the SVP Chief Operation Officer and executive leaders to perform a wide range of complex and highly confidential administrative support duties requiring discretion and independent judgement. The position is responsible for a broad range of strategic and tactical high level executive administrative support activities and is expected to work with discretion and judgment in all aspects of the role. The incumbent manages a variety of special projects for C-Suite team members, some of which may have organizational impact. ESOP experience preferred, but not required.

Essentials Functions:

· Coordinates calendars and schedules appointments, ensuring all parties are informed of and kept abreast of schedule awareness

· Preparing PowerPoint presentations, reports and executive summaries

· Internal and External meeting and event management – calendar coordination, technology, catering, etc.

· Accurately recording minutes from meetings and ensure action items are followed by the appropriate parties

· The Executive Assistant is expected to anticipate the SVP Chief Operation Officer’s needs and proactively solve problems and/or independently handle issues

· Completes expense reports and processes invoices; ensures that correct account codes are used and required signatures obtained

· Records management, document control, conducting research, interpreting data, and proofing documents.

· Collaborate as needed to develop PowerPoint presentations, communication, training material, etc. (Formatting, packaging, prepping, meeting assistance)

· Composes, and distributes professional correspondence and memoranda, using individual initiative and as assigned

· Understands strategic business initiatives and helps communicate and implement them across the organization

· Prioritize inquiries and requests while troubleshooting conflicts, make judgements and recommendations to ensure smooth day to day engagement

· Demonstrates a high level of professionalism in dealing with confidential and sensitive issues

· Oversight of company events coordination – employee event and customer events

· Handling some project management, research, and evaluation of new ideas

· Filing and retrieving corporate records, documents, and reports

· Coordinates travel arrangements

· Provide general administrative support

o Answering phones and routing calls to the correct person or taking messages

o Greeting visitors and assisting them to where they need to go

o Opening, sorting, and distributing incoming mail, emails, and other correspondence

o Will manage issues related to the headquarters facility such as assigning keys, fobs, calling for repairs, ensuring facility is well stocked, and managing the cleaning service.

o Managing office supplies companywide

· Performs other related duties as assigned by management

Qualifications:

· 3 + years proven experience as an Executive Assistant or other relevant administrative support experience.

· In-depth understanding of entire MS Office suite

· Must have intermediate or above level skills with Excel

· Intermediate PowerPoint skills

· Comfortable with technology and problem solving

· Associates degree or higher in Business, Communication, or related field

· Ability to work under pressure in a fast-paced environment

· Ability to organize a daily workload by priorities

· Must be able to meet deadlines in a fast-paced quickly changing environment

· A proactive approach to problem-solving with strong decision-making skills

· Must be able to always maintain confidentiality of information

· Professional level verbal and written communications skills

· Computer literate (intermediate)

· Ability to maintain professionalism when interacting with internal and external customers.
