Job Description
The Executive/Administrative Assistant will be experienced in handling a wide range of administrative and executive support related tasks and will be able to work independently with little or no supervision.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- The ability to interact with staff (at all levels) in a fast paced environment, sometimes under pressure, remaining flexible, proactive, resourceful, positive and efficient, with a high level of professionalism and confidentiality.
- Must have strong written and verbal communication skills.
- Must have strong decision making ability and strong attention to detail.
- Excellent calendar management skills, including the coordination of meetings as needed.
- Answer phones and direct incoming calls to executives as required.
- Communicate and handle incoming and outgoing e-mail communication on behalf of executives. Schedule appointments, organize overflowing paper documents, distribute required information via post office, courier, telephone and e-mail with accuracy and detail.
- Prioritize and manage multiple projects simultaneously, and follow through on issues in a timely manner.
- Arrange travel schedule and reservations for executives or management team as required.
- Prepare, review, and organize complex financial reports and/or other miscellaneous documents and reports as directed by executives and/or senior management.
- Manage workflow time effectively during peak and slow periods.
- Provide support to other departments within the organization as deemed necessary.
POSITION SPECIFICATIONS: EDUCATION AND EXPERIENCE:
A high school level education and Associates degree or equivalent combination of experience and education. Strong knowledge of computers and all Microsoft Office Programs.
WORKING CONDITIONS:
Occasional possibility of safety risks, regular multiple or conflicting demands, time, pressures, deadlines, emergencies. Regular sustained concentration. Setting for an executive/administrative assistant is generally a clinic office setting.
